We are looking for an exceptional Hotel Manager / Estate Operations Manager to take ownership of the day-to-day operations, presentation, hospitality, people, vendors, and maintenance of our private hospitality properties.

The ideal candidate will bring the operational discipline of a high-end hotel manager together with the ownership mindset of an Estate Manager. You will be responsible not only for guests and hospitality, but also for ensuring that the properties themselves are impeccably maintained, fully staffed, well supplied, efficiently operated, and consistently presented to the highest standards.

The role will have oversight across two private properties, with responsibility for coordinating people, operations, vendors, maintenance, housekeeping, service standards, guest requirements, and property readiness.

We are looking for someone who notices the small things, takes responsibility without being asked, can manage teams firmly but respectfully, and is equally comfortable dealing with a VIP guest, a maintenance issue, a supplier, a gardener, or a senior contractor.

THE ROLE

As Hotel Manager / Estate Operations Manager, you will act as the operational owner of the properties.

Your responsibility is to make sure that when the principals, family, guests, or management arrive at either property, everything works exactly as it should.

You will oversee

- Daily property operations across both properties
- Guest and family hospitality
- Housekeeping and cleanliness standards
- Property presentation and readiness
- Maintenance and repairs
- Gardens, landscaping, pool and outdoor areas
- Security coordination
- Drivers and transport requirements
- Kitchen and food-service coordination
- Staff recruitment, training, scheduling and performance
- Vendors, contractors and service providers
- Inventory and household/property supplies
- Preventive maintenance
- Property budgets and operating expenses
- Procurement and purchasing
- SOPs and operational systems
- Emergency and contingency situations
- Special events, functions and high-profile visits
- Coordination between the two properties

You will be expected to walk the properties regularly, identify problems before they become problems, and ensure that nothing is allowed to deteriorate through neglect.

KEY RESPONSIBILITIES1. PROPERTY & ESTATE OPERATIONS

Take complete operational responsibility for both properties and ensure they are maintained to an exceptional standard.

- Conduct regular inspections of buildings, rooms, common areas and outdoor spaces
- Ensure properties are always clean, functional, secure and presentation-ready
- Identify maintenance issues proactively
- Coordinate repairs, renovations and improvement works
- Maintain preventive-maintenance schedules
- Oversee HVAC, electrical, plumbing, water systems, generators, equipment and other critical infrastructure
- Coordinate pool, landscaping, gardening and external property services
- Maintain records of assets, equipment, warranties and service schedules
- Ensure properties are prepared before every arrival or stay
- Coordinate opening/closing procedures when properties are not occupied

The expectation is ownership — not simply reporting problems to someone else.

- HOSPITALITY & GUEST EXPERIENCE

Deliver the level of service expected from a luxury private residence and high-end hospitality environment.

- Oversee guest arrivals, departures and stays
- Ensure bedrooms, bathrooms and guest areas are perfectly prepared
- Coordinate housekeeping and room-service requirements
- Manage special requests and last-minute requirements
- Coordinate food, beverages, amenities and guest supplies
- Ensure guest preferences are recorded and consistently followed
- Anticipate requirements rather than waiting for instructions
- Handle VIPs, family members and key guests with discretion
- Resolve guest issues quickly and professionally
- Maintain an exceptionally high standard of privacy and confidentiality

3. HOUSEKEEPING & PROPERTY PRESENTATION

Develop and maintain clear standards for how the properties should look and feel.

- Manage housekeeping teams and schedules
- Establish cleaning and presentation checklists
- Inspect rooms and common areas
- Monitor linen, laundry, toiletries and amenities
- Manage deep-cleaning schedules




- Coordinate seasonal cleaning and property preparation
- Ensure furniture, décor and fixtures are properly maintained
- Maintain standards across both properties consistently

You should have a sharp eye for detail and be able to immediately recognise when something is below standard.

- STAFF MANAGEMENT

Lead and coordinate the full property team.

Depending on the property structure, this may include:

- Housekeeping staff
- Cooks / chefs
- Drivers
- Gardeners
- Maintenance personnel
- Security
- Pool staff
- Service staff
- Contractors and temporary staff

Responsibilities include:
- Recruitment and selection
- Training and onboarding
- Duty rosters and scheduling
- Attendance and discipline
- Performance management
- Staff communication
- Uniform and grooming standards
- SOP implementation
- Staff accommodation coordination where applicable
- Creating a professional, respectful and accountable working culture

You should be comfortable managing people directly, setting expectations and holding people accountable.

- VENDOR & CONTRACTOR MANAGEMENT

Take ownership of external suppliers and service providers.

- Identify and evaluate reliable vendors
- Obtain quotations and compare proposals
- Negotiate where appropriate
- Coordinate contractors and service visits
- Monitor quality of work
- Ensure agreed timelines are met
- Maintain vendor records
- Track recurring contracts and service schedules
- Prevent unnecessary or inflated expenses
- Build a reliable network of trusted local service providers

The right candidate will be able to say:

“This needs fixing. I know who to call, what it should cost, when it will be done, and I will personally check that it was done properly.”

- PROCUREMENT & INVENTORY

Ensure both properties have everything they need without excessive wastage or unnecessary spending.

- Maintain inventories of household and operational supplies
- Monitor linen, toiletries, cleaning materials, kitchen supplies and consumables
- Manage purchasing and replenishment
- Maintain minimum stock levels
- Obtain quotations where required
- Monitor supplier pricing
- Reduce wastage and leakage
- Maintain appropriate records of purchases and inventory

7. BUDGET & COST CONTROL

Operate the properties efficiently and with a strong understanding of costs.

- Prepare and monitor operating budgets
- Track recurring expenses
- Review vendor invoices
- Monitor maintenance expenditure
- Identify opportunities for cost savings
- Maintain records of major purchases and repairs
- Escalate significant or unexpected expenditure appropriately

We want someone who understands that luxury does not mean wasteful or poorly controlled operations.

- SYSTEMS, SOPs & REPORTING

Build systems that allow the properties to operate smoothly even when the principals are not present.

You will be responsible for developing and maintaining:

- Property checklists
- Opening and closing procedures
- Housekeeping standards
- Maintenance schedules
- Vendor databases
- Staff rosters
- Inventory systems
- Emergency procedures
- Guest-preference records
- Asset registers
- Preventive-maintenance schedules

Provide concise operational reporting to management covering:
- Property condition
- Staff
- Maintenance
- Purchases
- Vendors
- Upcoming requirements
- Significant issues
- Costs and expenditure

9. EVENTS & SPECIAL OCCASIONS

Coordinate property operations for

- Family gatherings
- Private dinners
- Celebrations
- Corporate or social events
- VIP visits
- Large guest groups
- Special occasions

Coordinate staff, housekeeping, food service, vendors, transportation, security, setup and breakdown.
- SECURITY, SAFETY & CONFIDENTIALITY

Maintain a high level of discretion and operational security.

- Coordinate with security personnel
- Monitor access to the properties
- Maintain visitor and contractor procedures
- Ensure staff follow confidentiality requirements
- Maintain emergency procedures
- Coordinate responses to incidents




- Protect the privacy of principals and guests

Absolute discretion is mandatory.

- Hospitality operations with significant property-management responsibilities

A strong candidate may come from a Hotel Manager, Assistant General Manager, Operations Manager, Executive Housekeeper, Resort Manager, Villa Manager, or Estate Manager background.

The job title matters less to us than your ability to take ownership of an entire operation.

Physical presence on the property

This is a hands-on operational position. We are not looking for someone who intends to manage the properties entirely from an office.

EXPERIENCE

Ideally

- 5–10 years of relevant hospitality, property or estate operations experience
- Experience managing teams
- Experience managing vendors and contractors
- Experience overseeing property maintenance
- Experience in luxury hospitality or private residences is strongly preferred
- Experience managing multiple properties is an advantage
- Strong English communication skills
- Good computer and reporting skills
- Willingness to travel between the two properties as required

Candidates from strong hotel backgrounds who want to move into private estate management are encouraged to apply.

The principals should feel that someone trustworthy is genuinely looking after the properties.

WHY THIS ROLE IS DIFFERENT

This is an opportunity for an experienced hospitality professional who wants greater ownership and responsibility than a conventional hotel role provides.

You will not simply be responsible for rooms, guests or front-office operations.

You will have a much broader mandate covering hospitality people property maintenance vendors procurement operations.

For the right person, this can develop into a long-term Estate / Property Operations leadership position overseeing the entire two-property portfolio.
