The Hostel Manager is responsible for the overall administration, discipline, safety, welfare, and smooth day-to-day functioning of the school hostel. The role involves supervising hostel staff, maintaining a safe and supportive environment for students, coordinating with parents and school departments, and ensuring compliance with school policies and hostel standards.
Key Responsibilities
1. Hostel Administration
- Manage the daily operations of the school hostel.
- Ensure proper allocation of rooms/beds and maintain student accommodation records.
- Maintain hostel registers, attendance records, visitor records, and other documentation.
- Prepare and monitor hostel schedules, routines, and activities.
- Ensure cleanliness, hygiene, maintenance, and proper upkeep of hostel premises.
2. Student Welfare & Discipline
- Ensure the safety, security, and overall well-being of residential students.
- Establish and maintain a disciplined, respectful, and positive hostel environment.
- Monitor students' daily routines, study hours, meal times, recreation, and bedtime.
- Address student concerns, complaints, behavioural issues, and conflicts appropriately.
- Support students in adjusting to hostel life and maintain a caring and supportive environment.
- Escalate serious behavioural, safety, or welfare concerns to the School Head/Principal.
3. Staff Management
- Supervise hostel wardens, caretakers, housekeeping staff, and other hostel support staff.
- Allocate duties and prepare staff schedules/rosters.
- Monitor staff attendance, discipline, performance, and conduct.
- Conduct regular briefings and ensure staff follow school policies and student-safety procedures.
- Coordinate with security, housekeeping, maintenance, transport, and catering teams.
4. Safety & Security
- Ensure strict adherence to school safety and hostel security protocols.
- Monitor entry and exit of students, staff, parents, and visitors.
- Maintain visitor and movement records.
- Ensure emergency procedures are clearly communicated and followed.
- Coordinate during medical emergencies, accidents, fire drills, evacuations, or other unforeseen situations.
- Ensure students are never left without appropriate supervision.
5. Parent & School Coordination
- Communicate professionally with parents/guardians regarding hostel-related matters.
- Coordinate student leave, permissions, check-in/check-out, and parent visits.
- Work closely with teachers, counsellors, school administration, and the medical team.
- Provide regular updates to the School Head regarding hostel operations and student welfare.
6. Food, Health & Hygiene
- Coordinate with the mess/catering team to ensure timely and hygienic meals.
- Monitor food quality, cleanliness, and student feedback.
- Ensure proper hygiene standards are maintained in hostel rooms, bathrooms, dining areas, and common spaces.
- Coordinate with the school nurse/medical team for students requiring medical attention.
- Maintain records of medical incidents and emergencies.
7. Activities & Student Engagement
- Organize and supervise hostel-based recreational, cultural, sports, and educational activities.
- Encourage students to participate in healthy social and extracurricular activities.
- Ensure evening study hours and academic routines are properly monitored.
- Promote discipline, independence, responsibility,
teamwork, and good behaviour among students.
8. Maintenance & Facilities
- Conduct regular inspections of hostel infrastructure and facilities.
- Report maintenance, electrical, plumbing, furniture, and other repair requirements.
- Coordinate with the maintenance team for timely resolution of issues.
- Ensure hostel equipment, furniture, appliances, and other assets are properly maintained.
Required Qualifications
- Bachelor's degree in any discipline.
- Degree/Diploma in Hotel Management, Hospitality, Education, Administration, or related field will be an advantage.
- Previous experience in school/college hostel, residential school, boarding facility, hospitality, or student administration preferred.
Experience
- 37 years of relevant experience in hostel/residential facility management, preferably in a school or educational institution.
- Experience in managing students and support staff will be an advantage.
