KEY RESPONSIBILITIES

1. Bank Account Administration

Manage end-to-end documentation and coordination for opening, modifying, and closing bank accounts.

Maintain an accurate repository of bank account details, mandates, signatories, authorised users, and supporting approvals.

Coordinate additions or removals of signatories and changes to bank mandates in line with approved internal authorisations.

Ensure account-related records and correspondence are complete, current, and readily available for review or audit.

2. KYC and Banking Documentation

Coordinate periodic and event-based KYC submissions with banks and relevant internal teams.

Compile, validate, submit, and track corporate documents, declarations, forms, and authorised signatory information.

Monitor pending documentation and follow up with stakeholders to avoid disruption to banking services.

Maintain a tracker of KYC requirements, submission status, exceptions, and closure evidence.

3. Payments and Banking Transactions

Process and monitor domestic inward and outward banking transactions in accordance with approved payment instructions.

Coordinate import and export payments, including collection of required transaction documents and follow-up with banks.

Track transaction status, investigate rejects or delays, and support timely resolution with banks and internal teams.

Validate transaction details and supporting documentation before submission, while observing maker-checker and approval controls.

Maintain clear records of payment instructions, bank acknowledgements, transaction references, and closure status.

4. Bank and Ledger Reconciliations

Prepare timely bank reconciliations for assigned accounts and investigate unmatched or aged items.

Perform bank-to-ledger reconciliation and coordinate with relevant Finance teams for correcting entries or open-item closure.

Maintain schedules of bank charges, interest, direct debits, credits, and other reconciling items.





Escalate material or long-pending differences with clear root-cause information and proposed next steps.

5. Daily Cash and Fund Position

Prepare and maintain the daily cash and fund position across assigned bank accounts.

Provide clear visibility of available balances, committed outflows, expected inflows, and funding requirements.

Coordinate fund transfers between accounts based on approved instructions and business requirements.

Support short-term cash planning by sharing accurate and timely banking information with Finance stakeholders.

6. Controls, Compliance and Audit Support

Follow defined approval matrices, segregation-of-duties requirements, and documentation standards for banking activities.

Maintain complete audit trails and provide documents, schedules, and explanations for internal, statutory, or process reviews.

Identify control gaps, recurring exceptions, or unusual transactions and escalate them through the appropriate Finance channels.

Protect confidential banking information and ensure secure handling of account details, credentials, and transaction documents.

7. Stakeholder and Bank Relationship Management

Act as an operational point of contact for designated banking partners and branches.

Coordinate with Accounts Payable, Accounts Receivable, Treasury, Tax, Legal, Company Secretariat, Business Finance, and other stakeholders as required.

Follow up proactively on service requests, transaction queries, documentation gaps, and issue resolution.

Maintain qualified communication and provide concise status updates to the reporting manager and relevant stakeholders.

8. Process Improvement and Reporting





Maintain trackers and periodic reports for bank accounts, KYC, payments, reconciliations, open issues, and service requests.

Identify opportunities to simplify, standardise, automate, or strengthen banking processes and controls.

Document standard operating procedures and update them when processes, controls, or banking arrangements change.

Support accurate and timely management reporting on key banking activities and exceptions.

EDUCATION AND EXPERIENCE

Graduate degree in Commerce, Finance, Accounting, Business Administration, or a related discipline.

3-4 years of relevant experience in corporate banking operations, treasury operations, cash management, or finance operations.

Hands-on exposure to bank account administration, KYC, payments, reconciliations, and daily cash-position reporting.

Experience working in a structured corporate Finance environment is preferred.

TECHNICAL AND FUNCTIONAL SKILLS

Working knowledge of banking operations, payment workflows, bank documentation, KYC, and reconciliation principles.

Ability to understand bank statements, ledger entries, transaction references, charges, and reconciling items.

Good working knowledge of Microsoft Excel for transaction tracking, reconciliation schedules, and reporting.

Comfort with ERP or finance systems and online banking platforms.

Strong numerical accuracy, documentation discipline, and ability to manage multiple transaction deadlines.

Clear written and verbal communication with banks and internal stakeholders.
