As our business continues to grow, we are looking for an organised, proactive and solutions-focused Audit Operations Coordinator / Specialist to join our Audit Services team.

The Opportunity

This is a highly visible role that sits at the centre of our global audit operations. You will be responsible for managing critical audit authorisation activities, coordinating with manufacturers and internal stakeholders, and helping to ensure the smooth and efficient delivery of audit services to clients worldwide.

You'll work across multiple departments, helping to resolve operational challenges, improve processes, support compliance activities and contribute to the continuous enhancement of our customer and auditee experience.

This role would suit someone who enjoys taking ownership, building relationships, driving outcomes and improving the way things work.

Key Responsibilities

Audit Authorisation Management

- Manage the end-to-end process for obtaining manufacturer authorisations required for audit report distribution.
- Act as the primary point of contact for authorisation-related enquiries and follow-up activities.
- Ensure authorisations are obtained in accordance with company procedures and established timelines.
- Maintain accurate records and provide regular reporting on authorisation status, risks and outstanding actions.

Operational Coordination





- Support the successful delivery of Rephine's global audit programmes through effective coordination of operational activities.
- Collaborate with planning, operations, technical, commercial and customer-facing teams to ensure seamless execution of audit services.
- Identify potential bottlenecks and proactively drive resolution of operational issues.
- Escalate risks, delays and customer-impacting issues where appropriate.

What We're Looking For

Essential

- Graduate degree or higher in Pharmacy or Life Sciences
- Strong organisational skills with exceptional attention to detail.
- Excellent communication and stakeholder management skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Proactive, solution-oriented and able to work independently.
- Robust administrative, coordination or operational experience.

Desirable

- Experience within pharmaceuticals, biotechnology, medical devices, healthcare or other regulated industries.
- Knowledge of quality systems, compliance processes or audit-related activities.
- Experience working within international or cross-functional teams.
- Exposure to CAPA, quality management systems or continuous improvement initiatives.
