An Assistant Manager of Administration is a mid-level leader responsible for supervising daily support operations, managing office facilities, and ensuring administrative procedures run efficiently. They serve as a bridge between senior management and administrative staff, often stepping in for the Administration Manager when necessary.
Key Responsibilities
- Office Operations: Oversee day-to-day activities including front desk management, mail distribution, and office cleanliness.
- Team Leadership: Supervise, train, and mentor administrative staff (receptionists, clerks, etc.), while handling scheduling and performance reviews.
- Facility & Asset Management: Manage office maintenance, security protocols, and fleet or vehicle requirements.
- Procurement & Inventory: Oversee the purchase of office supplies, furniture, and equipment while maintaining accurate stock records.
- Budgeting: Assist in preparing administrative budgets, monitoring expenses, and processing vendor invoices.
- Compliance & Records: Ensure adherence to company policies and legal regulations (like labor laws or safety standards) and maintain organized filing systems.
Essential Skills & Qualifications
- Education: Typically requires a Bachelor's degree in Business Administration, Management, or a related field.
- Experience: Generally 25 years in administrative or supervisory roles.
- Technical Proficiency: Advanced skills in MS Office (Excel, Word, PowerPoint) and familiarity with office management software.
Soft Skills: Solid leadership, multitasking, professional communication, and proactive problem-solving.
