The Admin will be responsible for the smooth day-to-day administration and coordination of The Talent Scholars e-learning platform. The role involves managing student admissions, handling parent and student communication, supporting lead conversion, coordinating teacher schedules and class allocations, resolving operational issues, and maintaining accurate academic, attendance, fee, and administrative records.

The ideal candidate should be highly organized, comfortable working with technology and data, have good communication skills, and be able to manage multiple activities simultaneously in a fast-paced online education environment.

Key Responsibilities

1. Admissions & Lead Management

- Handle enquiries received from prospective parents/students through calls, WhatsApp, email, website and other channels.
- Understand student requirements and provide accurate information about courses, classes, schedules and fees.
- Follow up with prospective parents and support the conversion of admission enquiries into enrolments.
- Coordinate the complete admission process, including registration, documentation, fee confirmation and class allocation.
- Maintain an updated database of leads, enquiries, admissions and conversions.
- Follow up on pending admissions and ensure timely closure.

2. Parent & Student Management

- Act as the primary administrative point of contact for existing parents and students.
- Respond to parent/student queries promptly and professionally.
- Assist students and parents with issues related to joining online classes, accessing links, schedules, assignments and other platform-related matters.
- Coordinate with teachers and the relevant internal team to resolve student-related concerns.
- Maintain good parent relationships and ensure a positive learning experience.

3. Teacher & Class Coordination

- Maintain and coordinate teacher schedules based on class requirements and availability.




- Allocate teachers to classes and ensure schedules are updated and communicated.
- Coordinate changes in class schedules, substitutions, cancellations and make-up classes.
- Monitor teacher attendance and ensure classes are conducted as per the planned schedule.
- Coordinate with teachers regarding student attendance, assignments, homework and other academic requirements.
- Ensure teachers have the necessary class information and student details.

4. Student Attendance & Academic Records

- Maintain accurate records of student attendance for all classes.
- Track homework and assignment submissions.
- Follow up with students/parents regarding pending assignments or irregular attendance, wherever required.
- Maintain student-wise academic and administrative records.
- Ensure all data is updated regularly and accurately in the relevant systems.

5. Fee & Payment Administration

- Maintain student-wise fee records, payment status and outstanding amounts.
- Track fee due dates and coordinate follow-ups with parents for pending payments.
- Reconcile admission and fee information with the relevant finance/accounts team.
- Maintain accurate records of receipts, payments and pending dues.

6. Reports & MIS

- Prepare regular reports and MIS related to:
- Current enquiries and lead conversion

- Admissions and enrolments

- Student attendance

- Teacher attendance

- Assignment/homework submission
- Fee collection and outstanding amounts

- Class schedules and allocations

- Student/parent issues and resolutions




- Maintain accurate databases and ensure reports are generated within defined timelines.
- Identify discrepancies in data and take necessary action to correct them.

7. Platform & Technical Support

- Assist students, parents and teachers with basic issues related to the e-learning platform.
- Support users in accessing online classes, links, learning materials and assignments.
- Escalate technical issues to the appropriate team and follow up until resolution.
- Ensure class links, schedules and relevant information are communicated correctly and on time.

8. General Administration

- Maintain proper documentation and records related to students, teachers, admissions and classes.
- Ensure smooth coordination between parents, students, teachers and the internal team.
- Support the team in implementing new processes and improving administrative efficiency.
- Handle other operational and administrative responsibilities related to the e-learning platform as assigned.

- Good working knowledge of MS Excel / Google Sheets, email, WhatsApp and other digital tools.
- Ability to prepare basic MIS reports and analyze data.
- Problem-solving attitude with a strong sense of ownership.
- Ability to work independently as well as coordinate with multiple stakeholders.

Qualification Graduate in any discipline. Candidates with experience in education administration, e-learning, customer support, admissions, school administration or academic coordination will be preferred.
