About the Role
We're looking for a reliable, organised, and detail-oriented Accounts & Administration Coordinator to support the day-to-day financial and administrative functioning of GLAD Foundation.
The role is primarily focused on accounts and financial records, while also supporting routine office administration, procurement, vendors, assets, supplies, documentation, and other operational requirements.
You will work closely with the Founder & Executive Director, programme team, and GLAD's external Chartered Accountant.
GLAD currently maintains some financial records through Excel and is moving towards a more structured accounting system, including Zoho Books. You will help maintain accurate records and support stronger systems as the organisation grows.
This is a full-time role. On Tuesday, Wednesday and Friday, you will work from our Saket office. Being in the office is significant because the role involves coordination around documents, approvals, payments, vendors, office requirements, and the wider team.
You are not expected to know everything on your first day. We value people who are willing to learn, ask questions, take initiative, and take ownership of their work. A good understanding of basic accounting, attention to detail, reliability, and willingness to handle practical administrative tasks are important for this role.
Key Responsibilities
Accounts & Bookkeeping (35%)
- Maintain accurate and up-to-date books of accounts.
- Record income, expenses, payments, receipts, reimbursements, and advances.
- Maintain accounting records in Excel/Zoho Books and support the transition to Zoho Books.
- Perform regular bank reconciliation and maintain petty cash records where applicable.
- Ensure transactions are recorded under the appropriate account, project, grant, and budget head.
- Maintain bills, invoices, vouchers, approvals, and payment proofs in an organised manner.
- Identify discrepancies, missing documents, or unusual transactions and flag them promptly.
Payments, Payroll & Grant Support (20%)
- Process routine staff, consultant, vendor, and programme-related payments and reimbursements.
- Check approvals and supporting documents before processing payments.
- Track advances and ensure timely settlement with supporting documents.
- Support monthly payroll and related TDS documentation.
- Track expenditure against approved budgets and maintain grant-wise financial records.
- Support preparation of Fund Utilisation Reports,
budget-versus-actual statements, and other donor financial information.
GLAD's institutional grant requires proper computerized accounting, expenditure tracking against approved budget categories, and appropriate supporting documentation. Assets, Inventory & Procurement Support (15%)
- Maintain the Fixed Asset Register, including asset/reference numbers, purchase details, funding source, location, and assigned custodian.
- Support tagging and basic tracking of laptops, furniture, equipment, and other organisational assets.
- Maintain basic inventory and stock records for office and programme materials.
- Support periodic physical verification of assets and inventory.
- Support routine procurement by maintaining purchase documentation, invoices, quotations, and required approvals.
- Coordinate with vendors for routine purchases, bills, deliveries, and related documentation.
- Flag missing documentation, discrepancies, or unusual purchases to management.
GLAD's internal-control materials include separate fixed-asset, stock and inventory records, and the organisation's financial systems are intended to maintain clear records of organisational resources. Office Administration & Operations (20%)
- Support day-to-day office administration and routine operational requirements.
- Maintain organised records for office agreements, vendor information, bills, service arrangements, and other administrative documents.
- Coordinate routine office purchases such as stationery, supplies, utilities, and other approved requirements.
- Coordinate with vendors, service providers, building management, and other external contacts when required.
- Support office-related payments, renewals, service requests, and documentation.
- Maintain basic records of office supplies and consumables and flag replenishment requirements.
- Support logistics for internal meetings, office activities, and programme-related requirements when needed.
- Assist with basic travel and logistical coordination when required.
Audit, Compliance & Documentation Support (10%)
- Keep financial and administrative records organised and audit-ready.
- Prepare ledgers, reconciliations, schedules, vouchers, and supporting documents required for audit.
- Coordinate with the external Chartered Accountant for routine financial information and documentation.
- Support TDS, income-tax, GST where applicable, and other finance-related statutory requirements.
- Maintain financial and administrative records required for donor and organisational reporting.
- Follow GLAD's Finance, HR, and other internal policies relevant to the role.
- Maintain confidentiality of financial, employee, donor, vendor, and organisational information.
- Flag financial discrepancies, missing records, or possible compliance concerns to management.
The role supports these processes but does not require the person to independently provide legal, tax, audit, or professional Chartered Accountant advice. Specialised work will remain with GLAD's external CA and relevant professionals.

Education & Experience A background in Commerce, Accounting, Finance, Business Administration, or a related field is preferred. Around 1–3 years of relevant experience in accounting, bookkeeping, office administration, operations, or a combination of these areas is preferred.
Experience with any of the following will be an advantage:
- Tally, Zoho Books, or similar accounting software
- Bank reconciliation and bookkeeping
- Payroll and TDS support
- Grant or donor financial reporting
- Fixed asset and inventory records
- Procurement and vendor coordination
- Office administration
We value practical ability, reliability, ownership, and willingness to learn alongside formal qualifications. We are not looking for a Chartered Accountant, Finance Manager, or senior Operations Manager for this position. We are looking for someone who can independently handle day-to-day accounts while also keeping basic administrative and operational work organised.
Essential Skills
- Understanding of basic accounting and bookkeeping.
- Familiarity with bank reconciliation.
- Comfortable using Excel and Google Sheets.
- Familiarity with Tally, Zoho Books, or similar software, or willingness to learn.
- Basic knowledge of TDS and GST, or willingness to learn.
- Good organisational and record-keeping skills.
- Good written and verbal communication in English and Hindi.
- Comfortable using Google Workspace.
- Able to coordinate professionally with vendors and external service providers.
- Strong attention to detail, reliability, and confidentiality.
- Comfortable working from the GLAD Foundation office on designated days.
