Roles and Responsibility

PMO Analyst

Role Overview The PMO Analyst supports project intake, governance, reporting and PMO tooling across the portfolio. The role ensures requests are triaged quickly, portfolio data is accurate, and reporting provides explicit insight into status, risks, demand and priorities. It is central to maintaining PMO rhythm, transparency and operational discipline across delivery teams.

Key Responsibilities

Project Intake & Demand Management

- Manage the end-to-end project intake workflow, ensuring requests are triaged, routed and tracked effectively.
- Coordinate with stakeholders to clarify scope, urgency,



readiness and required next steps.
- Maintain a clear view of incoming demand, including status, ownership, dependencies and prioritization inputs.

PMO Governance & Delivery Support
- Maintain light-touch capacity and dependency views, highlighting bottlenecks, over-allocation and delivery risks.
- Support governance forums through preparation of materials, action tracking and adherence to PMO standards.
- Review project documentation for quality, consistency and alignment with agreed templates and processes.
- Coordinate PMO team routines, including agendas, follow-ups and meeting actions.

Reporting & Data Analysis
- Produce portfolio dashboards and reports covering status, risks, milestones, demand, capacity and delivery trends.
- Maintain a trusted single source of truth for PMO data across systems, trackers and reporting outputs.
- Interpret data to identify trends, exceptions and risks, providing clear commentary and recommendations.

PMO Tooling & Templates
- Administer the PMO tooling platform, including configuration, access, updates and data quality controls.
- Improve workflows, templates, guidance and knowledgebase content to make PMO processes easier to use and adopt.
- Support audit or compliance evidence gathering where PMO artefacts are required.

Experience




- Experience supporting a PMO, project coordination, business operations or delivery reporting function.
- Confident working with structured data, dashboards, trackers and reporting outputs to maintain accurate information.
- Ability to interpret data, identify trends or exceptions, and summarise findings clearly for stakeholders.
- Strong organisational skills, with the ability to manage actions, follow-ups and competing priorities.
- Good communication skills, including the ability to produce concise updates, materials and commentary.
- Familiarity with PMO tooling, project management systems, spreadsheets or reporting platforms is desirable.

- Project intake is triaged quickly, tracked clearly and routed to the right owners.
- PMO data, dashboards and reports are accurate, timely and trusted by stakeholders.
- Portfolio reporting highlights meaningful trends, risks, exceptions and recommended actions.

- PMO tooling, templates and standards are adopted consistently across delivery teams.
