Job Title: E-commerce Operations Executive

Location: Mumbai (Andheri East – near Western Express Highway Metro) Experience: 3-5 years

Role Overview

We are looking for a data-driven and detail-oriented e-commerce operations executive to manage our multi-channel supply chain. Based in our Mumbai office, you will be responsible for orchestrating inventory movements from overseas suppliers (exporters), inbound logistics, customs clearances, order management workflows across major e-commerce marketplaces/D2C websites, monitoring inventory levels, movement of products across fulfilment centres, and coordinating directly with our external Third-Party Logistics (3PL) partners. The goal is to improve lead times, optimise cost to serve, and support seamless business operations.

Key Responsibilities

Purchase Order (PO) & Exporter Management

- Inbound PO Tracking: Creating and tracking purchase orders issued to exporters, monitoring lead times, and updating expected delivery dates in the system.
- Documentation: Reviewing inbound shipping documents (bills of lading, packing lists) to ensure exporters adhere to packing, labelling, and delivery guidelines.
- SKU & Master Data Governance: Setting up new product profiles in the system, ensuring dimensions, weights, HSN codes, and pricing rules are accurately mapped.
- Compliance Management: Ensuring that all regulatory requirements are fulfilled on an ongoing basis.
- Inbound Freight Booking: Coordinating with freight forwarders or customs brokers to schedule ocean or air transport to the distribution centre.
- Customs clearances: Co-ordinating with the customs agent for prompt payment of customs duties and delivery to the distribution centre

Inventory and Order Management
- Stock Reconciliation: Reviewing daily/weekly/monthly warehouse reports and digitally reconciling physical stock discrepancies against the database.
- Multi-Channel Inventory and Order Management: Oversee daily order flows from major marketplace panels,



including Amazon, Nykaa, Tira, Flipkart, and D2C websites, into our central backend system.

Outbound Logistics & Freight Management
- Scheduling of appointments at receiving/sending warehouse locations and arranging the commercial transport from the distribution centre to the other inventory locations
- Dispatch & Route Scheduling: Approving daily warehouse dispatch schedules, completing documentation and assigning transport carriers to specific delivery routes based on time and cost to deliver

Spend Management
- Receiving all invoices from vendors is reviewed and paid on a timely basis. Highlight any discrepancies in the invoices as per agreed rates and resolve

Reporting & Insights
- Deliver meaningful, data-driven reports on inventory health, turnover rates, operations, etc. to identify trends, issues, and opportunities
- Build dashboards and insights that support decision-making.

Required Skills & Competencies

- Experience: 3-5+ years of desk-based experience managing operations, e-commerce operations, and D2C websites, specifically handling marketplace panels like Amazon Seller Central, Nykaa, Tira, or Flipkart. Solid understanding of commercial processes such as order management, billing, and basic financial concepts. Prior experience coordinating with external warehousing or 3PL providers is highly preferred
- Technical Skills: Advanced proficiency in MS Excel or Google Sheets (VLOOKUPs, pivot tables, data cleaning) is mandatory for day-to-day reconciliation. Experience with Order Management Systems (OMS) or ERPs is an advantage.
- Skills: Excellent attention to detail, robust problem-solving abilities, capacity to multitask under tight daily marketplace deadlines and communicate with internal and external stakeholders.

Preferred Background

- Experience in warehousing, distribution, logistics/supply chain, and cross-border operations
- Exposure to e-commerce, marketplaces, B2B, and D2C brand operations
- Experience handling high-value or international clients
