Our work spans product development, sampling, sourcing, production and export documentation, delivered to the quality, compliance and delivery standards expected by global retail brands.
Position Summary
We are looking for an experienced Merchandiser who can own buyer accounts end-to-end, from enquiry and development through costing, order confirmation, production follow-up and shipment. This is a hands-on, independent role: the person will be the single point of contact for their assigned accounts and will be accountable for on-time, in-full delivery at agreed cost and quality.
The right candidate is someone who has already run accounts on their own, is comfortable dealing directly with overseas buyers and buying agents, and can hold both the factory floor and the buyer to timelines.
Key Responsibilities Buyer & Account Management
- Serve as the primary point of contact for assigned buyer accounts; manage all day-to-day correspondence independently.
- Interpret buyer briefs, tech packs and comments accurately and translate them into internal development and production instructions.
- Maintain a professional, responsive communication cadence with buyers across time zones; escalate risks early with proposed solutions.
- Build and protect long-term account relationships, and identify opportunities to grow business within existing accounts.
Product Development & Sampling
- Drive the complete sampling cycle: proto, fit, size set, PP, TOP and shipment samples — against buyer calendars.
- Coordinate with design, pattern, CAD and sample rooms to ensure samples are submitted on time and right the first time.
- Source and approve fabrics, trims and accessories; manage lab dips, strike-offs,
handloom/knit-downs and bulk approvals.
- Maintain complete, accurate sample and approval records for every style.
Costing & Order Confirmation
- Prepare and validate cost sheets covering fabric, trims, CMT, value additions, testing, freight and margin.
- Negotiate prices and delivery terms with buyers and vendors within approved parameters.
- Review and confirm purchase orders, ensuring commercial terms, delivery windows and payment terms are correctly captured.
Production Planning & Follow-Up
- Prepare and circulate the Time & Action (TNA) calendar for every order and drive adherence across departments.
- Coordinate with sourcing, fabric store, cutting, production, finishing and QA to ensure smooth order execution.
- Track raw material in-house dates, production status and inline/final inspection outcomes; take corrective action on delays.
- Liaise with buyer QAs and third-party inspection agencies for inline and final inspections.
Compliance, Documentation & Shipment
- Ensure adherence to buyer-specific compliance requirements, including social and ethical audit standards and testing protocols.
- Coordinate with the documentation and logistics team on packing lists, shipping marks, booking and export documentation.
- Ensure timely shipment and closure of orders, including post-shipment queries, claims and buyer feedback.
Reporting
- Maintain and circulate weekly order status, TNA, sampling and shipment reports to management.
- Flag cost overruns,
delivery risks and quality issues to management with clear commercial impact.
Required Qualifications & Experience
- Graduate/Postgraduate in Apparel Merchandising, Fashion Technology, Textiles or a related discipline (NIFT, NIFT-affiliated, Pearl Academy or equivalent preferred).
- 5–10 years of hands-on merchandising experience with a garment export house , with a proven record of handling accounts independently.
- Demonstrated experience managing international buyers — direct buyer or buying-agent handling is essential.
- Strong working knowledge of woven and/or knit product categories, fabric and trim sourcing, and garment construction.
- Proven command of costing, TNA management and critical-path follow-up.
- Working knowledge of export documentation and shipment processes.
- Proficiency in MS Excel and ERP systems used in apparel manufacturing.
- Excellent written and spoken English; professional email etiquette with overseas buyers.
Preferred (Not Mandatory)
- Exposure to Australian, Current Zealand, UK, EU or US retail buyers and department stores.
- Familiarity with retailer compliance frameworks — social/ethical audits (SEDEX, BSCI, WRAP), Modern Slavery Act reporting requirements, and buyer testing standards.
- Experience with kidswear, womenswear or ladies' fashion categories.
- Working knowledge of PLM systems and buyer vendor portals.
Key Performance Indicators
- On-time delivery (OTD) and on-time in-full (OTIF) performance across assigned accounts
- Sampling approval turnaround and first-time-right sample approval rate
- Order-level margin realisation versus approved cost sheet
- Right-first-time inspection pass rate
- Buyer satisfaction, repeat orders and account growth
- Accuracy and timeliness of internal reporting
