Roles & Responsibilities Logistics Head | Diagnostic/Healthcare

1. Logistics Operations

- Manage end-to-end logistics operations for diagnostic samples.
- Ensure timely pickup and transportation of samples from collection centres/home collection locations to laboratories.
- Plan and optimize daily routes for phlebotomists and logistics teams.
- Monitor sample movement and ensure TAT compliance.

2. Phlebotomy & Field Team Management

- Manage and supervise phlebotomists, pickup executives, drivers, and field logistics staff.
- Prepare manpower deployment and shift/route plans.
- Monitor attendance, productivity, performance, and field discipline.
- Train teams on sample handling, packaging, and transportation procedures.

3. Sample Transportation

- Ensure proper sample segregation, packaging, labelling, and transportation.
- Maintain required temperature/cold-chain conditions wherever applicable.
- Minimize sample rejection, leakage, damage, and delays.
- Coordinate with laboratories for urgent and priority samples.

4. Collection Centre Coordination

- Coordinate with collection centres regarding sample pickup schedules and dispatch.
- Ensure timely movement of samples from centres to processing laboratories.
- Resolve operational issues between collection centres, phlebotomists, logistics and laboratory teams.

5. Vendor & Fleet Management

- Manage logistics vendors, courier partners, drivers, and transportation agencies.
- Monitor vehicle availability, utilization, maintenance, and operating costs.
- Negotiate and monitor vendor SLAs and service quality.





6. MIS & KPI Management

- Track key metrics such as:

- Sample pickup TAT

- Sample delivery TAT

- Sample rejection rate

- Phlebotomist productivity

- Route efficiency

- Cost per pickup

- Pending/failed pickups
- Prepare daily, weekly and monthly logistics MIS reports.

7. Cost Control

- Control transportation and manpower costs.
- Optimize routes and vehicle utilization.
- Identify opportunities to reduce operational expenses without affecting TAT or service quality.

8. Quality & Compliance

- Ensure compliance with diagnostic laboratory SOPs and applicable healthcare/bio-medical sample transportation requirements.
- Conduct regular audits of field logistics and sample handling.
- Investigate and close incidents related to delayed, lost, damaged or rejected samples.

9. Technology & Systems

- Ensure proper use of LIMS, GPS/route tracking, barcode systems and logistics applications.
- Monitor real-time sample movement and identify delays.

10. Team Leadership

- Lead the overall logistics team and set operational targets.
- Conduct performance reviews and develop team capabilities.
- Coordinate closely with Lab Operations, HR, Finance, Sales/CRM and Collection Centre teams.
