Position Summary
The Transport Supervisor is responsible for monitoring and managing day-to-day transport
operations, ensuring smooth movement of own fleet and hired vehicles, optimizing vehicle
utilization, maintaining compliance, and controlling expenses.
Core Roles & Tasks
1. Vehicle & Trip Management
- Plan daily vehicle movement (own & hired) as per operational requirements.
- Ensure no idling of own vehicles maintain minimum downtime.
- Monitor trip sheet entries for accuracy and completeness.
- Track transit time against company-defined benchmarks.
- Ensure trips are executed with proper documentation (LR, e-way bill, invoice copy, etc.).
2. Coordination & Communication
- Coordinate with other transporters for vehicle placement and movement.
- Update location head/management on vehicle status & delays.
- Liaise with drivers for trip execution, route planning, and on-road challenges.
3. Financial Handling
- Issue diesel and cash advances to drivers as per approved limits.
- Obtain advance approvals for own vehicles with proper documentation.




- Prepare and send fund requests to accounts team for timely processing.
- Maintain weekly records of trip expenses (diesel, tolls, advances, repairs).
4. Documentation & Compliance
- Collect PODs, challans, and invoices within 23 days of trip completion.
- Ensure vehicle documents (RC, insurance, permits, PUC, fitness certificate) are monitored and
renewed on time.
- Circulate advance reminders for document renewals to management.
5. Vendor & Transporter Management
- Obtain rate approval from the location head before assigning trips to other transporters.
- Ensure timely collection of invoices from transport vendors.
- Maintain vendor records for reconciliation.
6. Maintenance & Safety
- Monitor preventive maintenance schedules for all own vehicles.
- Record and track breakdowns, repair work, and tyre replacement details.
- Coordinate with workshop/service team for timely upkeep.
