We are seeking a detail-oriented and proactive Hardware Asset Management (HAM) Specialist to manage the complete lifecycle of IT hardware assets across the organization. The ideal candidate will be responsible for maintaining accurate asset inventories, ensuring timely deployment and support of hardware assets, overseeing asset lifecycle management, and ensuring compliance with organizational policies and audit requirements. This role requires strong coordination with IT, Procurement, and Finance teams to optimize hardware utilization and control costs.

Key Responsibilities

Asset Inventory Management

- Maintain an accurate and up-to-date inventory of all hardware assets, including:

- Laptops

- Desktops

- Servers

- Network devices

- Peripherals and accessories
- Regularly update asset records in the asset management system.
- Perform inventory reconciliation and investigate discrepancies.
- Track asset ownership, location, status, and allocation details.

Hardware Deployment & Asset Allocation
- Coordinate and ensure timely deployment of hardware assets to end-users.
- Perform device imaging, configuration, testing, and asset tagging before deployment.
- Manage asset allocation, relocation, replacement, and return processes.
- Maintain deployment records and update asset databases accordingly.

Asset Lifecycle Management
- Manage the complete lifecycle of hardware assets from procurement to decommissioning.
- Monitor asset aging and refresh cycles.
- Track warranty information and maintenance contracts.
- Coordinate repairs, replacements, warranty claims, and vendor support.




- Ensure secure and compliant disposal of retired hardware assets.

Compliance & Audit Management
- Ensure compliance with organizational asset management policies and procedures.
- Support software and hardware compliance initiatives.
- Prepare documentation and evidence required for internal and external audits.
- Maintain audit-ready records of asset procurement, deployment, maintenance, and disposal activities.

Reporting & Documentation
- Generate periodic reports on:

- Asset inventory status

- Asset utilization

- Lifecycle and refresh status

- Warranty and maintenance coverage
- Maintain comprehensive asset documentation, including:

- Purchase orders

- Warranty records

- Asset movement records

- Disposal certificates
- Provide management dashboards and reports as required.

Collaboration & End-User Support
- Work closely with IT Operations, Service Desk, Procurement, Finance, and Vendor Management teams.
- Assist in planning and forecasting hardware requirements.
- Address end-user hardware requests and coordinate issue resolution.
- Escalate hardware-related issues to appropriate teams or vendors when necessary.




- Contribute to process improvements and HAM best practices.

Required Qualifications

Education

- Bachelor's Degree in Information Technology, Computer Science, or a related field (preferred).

Experience
- 4+ years of experience in:

- Hardware Asset Management (HAM)

- IT Asset Management (ITAM)

- IT Infrastructure Operations

- Similar asset governance roles
- Experience working with asset management platforms such as:

- ServiceNow

- Remedy

- ManageEngine

- Other ITAM tools
- Familiarity with ITIL-based service management practices.

Technical Skills
- Strong knowledge of hardware asset lifecycle management.
- Understanding of hardware procurement, deployment, maintenance, and disposal processes.
- Proficiency in asset tracking and management tools.
- Advanced knowledge of Microsoft Excel for reporting and data analysis.
- Experience maintaining asset repositories and inventory databases.
- Knowledge of IT audit and compliance requirements.
