Job Title - Facility Manager — Operations & Administration (Non-Clinical)

Number of Positions – 2

Location - Mumbai, Maharashtra

Employment Type - Full-time, Permanent

Work Arrangement - Residential — on-site accommodation, available 24×7 on a shared roster

Reports To - Centre Director

Experience Required – 3+ years in residential rehabilitation, de-addiction, healthcare or institutional care

Qualification - PSW (Psychiatric Social Worker) or MSW (Master of Social Work)

About the Role

Zenora Health Recovery is a residential rehabilitation and recovery centre in Mumbai supporting individuals and families through addiction and mental health crises. We admit residents under supported admission provisions.

The Facility Manager runs the centre as an institution — housekeeping, security, kitchen, maintenance, administration, and the operational side of admissions, family visits and discharges. This is a non-clinical role. Treatment decisions sit exclusively with our psychiatrist, medical officer and clinical team.

This is a residential position . You will stay at the centre and be available for support 24×7, on a structured roster with your co-Facility Manager so that both of you get genuine, protected time off.

Key Responsibilities

Facility Operations

• Manage and roster housekeeping staff; maintain hygiene, sanitation, laundry and infection-control standards throughout the centre

• Manage security staff and access control; conduct routine safety rounds, contraband checks and perimeter / exit-point checks

• Oversee kitchen operations — meal timing, food safety and storage hygiene, vendor coordination, and execution of the dietary plan set by the clinical team

• Manage maintenance, repairs, electricals, plumbing, generator and water supply, fire-safety equipment and CCTV upkeep

• Handle vendor management, procurement, inventory and stock control for consumables and supplies

Team Management

• Recruit, roster, supervise, and manage attendance and discipline for all non-clinical staff — housekeeping, security, kitchen and general support

• Run shift handovers and daily briefings for the support team

• Train support staff on centre protocols, resident dignity, confidentiality and emergency procedures

• Escalate staff conduct concerns involving residents immediately to the Centre Director

Admissions — Operational & Administrative (including night-time admissions)

• Manage the operational side of admissions at any hour,



including nights and weekends

• Complete admission documentation, registers, consent and supported-admission paperwork, and personal-property inventory

• Prepare the room, arrange belongings screening, and coordinate security presence where required

• Summon and hand over to the on-call medical officer / psychiatrist for all clinical screening and admission assessment — clinical suitability is never a Facility Manager decision

- Ensure every admission is documented, timed and escalated in line with statutory requirements under the Mental Healthcare Act, 2017

Family Liaison & Coordination

• Serve as the day-to-day point of contact for families on logistics, scheduling, administration, billing queries and general wellbeing updates

• Schedule, prepare for, and supervise family visits

• Arrange and facilitate clinical review conversations between families and the treating team — clinical updates, prognosis, treatment plans and discharge readiness are communicated by the clinical team, not by you

• Coordinate the operational side of discharge once clinically cleared: paperwork, belongings, billing, transport and follow-up appointment scheduling

• Handle difficult family conversations — anxiety, guilt, complaints, unrealistic expectations — with patience and clarity, and route clinical questions to the right person

Resident Environment & Safety (Non-Clinical)

• Maintain a visible, calm, respectful presence across the centre throughout the day

• Ensure the daily routine and house rules run on schedule — consistently and without harshness

• Observe and report: flag any change in a resident’s behaviour, mood or physical condition to clinical staff promptly. Observation and escalation, not interpretation or diagnosis

- Respond to incidents by securing the immediate environment, protecting the resident and others from harm, and calling the clinical team
- Coordinate emergency response logistics: medical emergencies, absconding, fire, hospital transfers, ambulance and police liaison

Administration & Compliance

• Maintain admission registers,



resident files, visitor logs, incident logs and statutory documentation as required under the Mental Healthcare Act, 2017

• Support inspections, audits and licensing requirements — state mental health authority, fire NOC, FSSAI, PSARA-licensed security vendor, biomedical waste handling

• Prepare daily and weekly operational reports for management

• Manage petty cash, duty rosters and operational budgets

What This Role Does Not Include The Facility Manager does not conduct clinical assessment or diagnosis, deliver therapy or counselling, administer or decide on medication, take part in treatment planning, decide admission suitability or discharge readiness, authorise restraint or seclusion, communicate clinical status to families, or vary a clinical instruction.

If a situation calls for clinical judgement, your job is to make the environment safe and get a clinician there.

Requirements

• PSW (Psychiatric Social Worker) or MSW (Master of Social Work) — RCI registration an advantage for PSW candidates

• Minimum 3 years’ experience in a residential rehabilitation, de-addiction, hospital or institutional care environment

- Demonstrated experience managing support functions — housekeeping, security, kitchen or general facility administration
- Proven ability to manage and roster a support team of 10 or more
- Comfort working daily around residents in acute distress, with the discipline to stay inside a defined scope

• Willing to stay on-site and be available 24×7 on a shared roster

• Fluency in Hindi and English ; Marathi is a solid advantage

• Emotional steadiness, sound operational judgement under pressure, and absolute discretion with confidential information
