Executive Assistant/Secretary

Experience: 5+ years of relevant legal secretarial / executive assistant experience, preferably with a law firm
About the Role
We are looking for a highly organised and detail-oriented EA/Secretary to provide comprehensive secretarial and administrative support to our lawyers and teams in the Gurugram office.
The ideal candidate should have prior experience in a law firm or professional services environment, robust proficiency in Microsoft Office, excellent communication skills, and the ability to manage multiple priorities while maintaining a high degree of confidentiality and attention to detail.
Key Responsibilities
- Provide day-to-day secretarial and administrative support to partners, lawyers, and teams.
- Prepare, format, proofread, compile, and maintain legal documents, correspondence, presentations, and other client-related documents in accordance with professional formatting standards.
- Assist with document management, including indexing, organising, maintaining, and retrieving files and records.
- Coordinate meetings, conference calls, appointments, and diaries, including scheduling across multiple stakeholders.
- Manage travel arrangements, itineraries, and related logistics.
- Assist with preparation and submission of timesheets,
expense statements, vouchers, and other administrative records.
- Support lawyers with file opening, file codes, billing-related matters, and other practice administration requirements.
- Coordinate with internal teams and external stakeholders as required.
- Maintain accurate and up-to-date records and ensure timely follow-up on pending matters.
- Handle confidential and sensitive information with discretion.
- Undertake other administrative and secretarial responsibilities as required.
Skills & Qualifications
- 5+ years of relevant experience as a Legal Secretary, Executive Assistant, or similar role, preferably in a law firm.
- Strong working knowledge of Microsoft Word, Excel, and PowerPoint.
- Good understanding of legal document formatting, compilation, and indexing.
- Excellent written and verbal communication skills.
- Strong organisational and time-management skills, with the ability to manage multiple tasks and deadlines.
- High attention to detail and accuracy.
- Ability to work independently as well as collaboratively in a fast-paced professional environment.
- Strong interpersonal skills and a professional approach.
- Ability to handle confidential information with discretion.
