Jd - Personal Assistant to the Directors

About the role

This is a personal assistant role, but not the personal assistant role most people picture. It is not a front-desk, reception, switchboard or office-administration position.

What the directors need is a personal assistant who, in practice, functions as a travel and lifestyle manager. Travel management is the single largest and most important part of this job, covering both business and leisure travel, domestic and international.

Beyond travel, this is a chief-of-staff role for the three partners of the company. You will hold their calendars, their commitments and their logistics, business and personal, and act as the single point of coordination across all three. It is a role of considerable trust and considerable independence.

Key responsibilities

1. Travel & Lifestyle Management is the heart of the role You own the entire travel lifecycle end to end, business and leisure, domestic and international. In practice, that means building complete itineraries from a brief and ticketing them across full-service and low-cost carriers, with a working command of fare classes, fare rules, change and cancellation penalties, reissues, rerouting and involuntary rebooking rights. It means making the most of every loyalty currency available to us airline programmes across Star Alliance, one world and SkyTeam; hotel programmes such as Marriott Bonvoy, Hilton Honors, World of Hyatt and Accor; and transferable credit-card points from Amex, HDFC, Axis and ICICI and knowing which transfer partner gives the best value on which route, and when a transfer bonus is worth waiting for.

It means selecting seats with intent, with an eye on cabin layout, seat pitch, bassinet rows, galley and lavatory proximity and last-minute aircraft swaps, and pursuing upgrades of every kind, whether instrument, mileage, bid or status-driven, knowing which airline desk to call and when.

When plans go wrong, and they will, you manage delays, cancellations, misconnects and weather events in real time, and rebook the family before the airline app has finished loading. You then pursue whatever is owed to us delayed and lost baggage, denied boarding, EU261 and equivalent regimes, Montreal Convention claims and refund recovery persistently, politely and to conclusion.

Running alongside all of this, you keep the paperwork ahead of the travel rather than behind it: visas for Schengen, the United States, the United Kingdom, Japan, China and elsewhere; passport validity and blank pages; Global Entry,



TSA PreCheck and DigiYatra enrolments; insurance and vaccination requirements. You also arrange everything on the ground chauffeurs, transfers, airport meet-and-assist, and private charters where required.

Familiarity with tools such as Expert Flyer, aeroLOPA, Google Flights, ITA Matrix or Seats.aero is a strong advantage.

2. Hotels, restaurants and experiences The same instincts, applied on the ground. Book hotels through whichever channel yields the most programme rates, Virtuoso, Amex Fine Hotels & Resorts, preferred-partner rates and secure the specific room, floor, view and amenities, not merely the category.

Build and hold real relationships with hotel General Managers, guest relations teams and concierges, so that the family is known before it arrives. Maintain standing relationships with the restaurants the family returns to; get the right table, handle allergies and preferences without being asked, and secure the difficult reservations in Mumbai and abroad.

Arrange theatre, concerts, cinema, sport and cultural events, including tickets that must be planned months in advance.

1. Executive and business support Own the Directors calendars: internal meetings, site visits, external appointments, follow-ups, and the protection of focus time.

¢ Support private events and family gatherings.

¢ Draft, screen and manage correspondence in a tone appropriate to each recipient.

¢ Prepare briefing notes ahead of meetings and travel; circulate action points afterwards and chase them to closure.

¢ Coordinate with office vendors, service providers and household staff; oversee household repairs, service appointments and deliveries.

2. Technology and ways of working We do not expect you to arrive as an expert in artificial intelligence. We do expect you to be genuinely comfortable with technology and to pick up new tools quickly the kind of person who works out a new app in an afternoon rather than waiting for training.

¢ Confident with everyday tools. Google Workspace and MS Office to a good standard; comfortable with shared documents, trackers and cloud storage.

¢ Quick to adopt. Willing and able to learn tools such as Notion or Airtable, travel and expense apps, and anything else that removes manual work.

¢ AI tools we will teach you. The Directors work with Claude and other AI assistants daily and will train you on them directly. Prior experience is welcome but not required; curiosity and willingness are. If you already use these tools, say so in your application.

¢ Build systems, not memory. Set up shared trip documents, passport and visa trackers, loyalty account registers,



family preference profiles and expense records, so that nothing depends on anyone remembering it.

Who we are looking for ¢ Travel industry background. Four or more years in at least one of a travel management company or corporate travel desk; a luxury or bespoke travel consultancy; an airline or hotel premium or guest-relations desk; a lifestyle or concierge services company; or travel and lifestyle management within a family office. This is the single most important requirement.

¢ Demonstrable command of the craft. Fares, loyalty programmes, upgrades and disruption handling, first-hand. You should be able to talk through routings, redemptions and recovery scenarios in detail at interview.

¢ Technology confidence. A modern, digitally fluent way of working and a demonstrated ability to learn new tools quickly.

¢ Communication. Excellent written and spoken English; strong Hindi. A third language is welcome.

¢ Absolute discretion. You will have visibility into personal, financial and family matters.

¢ Working hours. This is a 10am to 6pm role, with alternate Saturdays off. That said, we work as a family office rather than as a corporate department: when the Directors are travelling, we expect good judgement about what genuinely needs attention outside those hours, and we are flexible in return.

Selection process

1. Application. Your CV, plus a short note on the most complicated trip you have personally planned, and what went wrong with it.
2. First conversation. Thirty minutes with each of the three partners.
3. Work sample. We will give you a real situation of the kind this role handles every week and see how you approach it.
4. Round two. A longer meeting with the Directors.
5. Reference checks, with particular emphasis on discretion and on reliability under pressure.

¢ A long horizon. Our previous Personal Assistant was with the family for thirteen years, grew substantially in that time, and has since moved into an even more senior position.
