Administrative Assistant – Operations & Recruitment | Contract
Everest Homecare is seeking a skilled, motivated, and detail-oriented Administrative Assistant to join our healthcare team. The ideal candidate will play an important role in supporting daily office operations, healthcare administration, recruitment, and staffing coordination to ensure smooth and efficient business operations.
We are specifically seeking candidates who reside within a 10-kilometer radius of our office.
Key ResponsibilitiesAdministrative & Office Operations
- Maintain organized and efficient day-to-day office operations.
- Handle incoming calls, emails, correspondence, and general administrative inquiries.
- Accurately enter, update, and maintain patient and employee information in internal systems.
- Ensure confidentiality and security of patient and company information.
- Schedule appointments, meetings, interviews, and other business activities.
- Coordinate with internal departments to ensure smooth workflow and timely completion of tasks.
- Assist with maintaining employee and operational records and documentation.
- Monitor pending tasks, follow-ups, and deadlines to ensure timely completion.
- Support management with reports, trackers, documentation, and other operational requirements.
- Assist in maintaining compliance with applicable healthcare policies and regulations.
- Prepare and organize documentation required for audits, reviews, and internal processes.
- Perform additional administrative and operational tasks as assigned by management.
Recruitment & Staffing
- Support recruitment activities for multiple healthcare positions, including Registered Nurses, Caregivers, Occupational Therapists, Physical Therapists, and other healthcare professionals.
- Assist in identifying and recruiting candidates within specific geographic areas based on staffing requirements.
- Review resumes and applications to identify qualified candidates based on job requirements.
- Conduct initial candidate screening and gather relevant information regarding qualifications, experience, availability, and location.
- Communicate with candidates throughout the recruitment process and provide necessary information regarding available positions.
- Schedule and coordinate interviews between candidates and hiring managers.
- Maintain accurate recruitment trackers and candidate records.
- Coordinate interview follow-ups and ensure a smooth candidate experience.
- Communicate with hiring managers regarding candidate status, interview feedback, and next steps.
- Assist with onboarding coordination and collection of required documentation from selected candidates.
- Support management in meeting staffing and recruitment goals based on business and operational needs.
Operations & Team Coordination
- Assist management with daily operational activities and ensure assigned tasks are completed on time.
- Coordinate between different teams to address operational requirements and resolve pending issues.
- Track staffing needs and assist in prioritizing recruitment based on business requirements.
- Maintain accurate records, reports, and trackers related to operations and recruitment.
- Identify potential gaps or delays in administrative and recruitment processes and communicate them to management.
- Provide general support to the team to ensure efficient and uninterrupted operations.
Qualifications
- Bachelor’s Degree is mandatory.
- Previous experience in administration, operations, recruitment, healthcare administration,
or a related field is preferred.
- Proficient in Microsoft Office Suite, Outlook, and other office software.
- Strong organizational and multitasking skills.
- Excellent attention to detail.
- Robust verbal and written communication skills.
- Ability to handle confidential and sensitive information professionally.
- Strong interpersonal and coordination skills.
- Ability to work independently as well as collaboratively with a team.
- Willingness to work during U.S. business hours/night shifts.
Salary
₹35,000 – ₹40,000 per month
Salary may vary based on qualifications, relevant experience, and overall suitability for the role.
Schedule
Since we support U.S.-based healthcare operations, this is a night-shift position aligned with U.S. business hours.
