Job Description Project Coordinator (M&A; & Transaction Delivery)

About the Role

FundVice is looking for a highly organised and proactive Project Coordinator – M&A; & Transaction Delivery to support the execution of live M&A; mandates and post-merger integration initiatives.

This is a delivery and orchestration role where you will act as the operating backbone of transactions. You will own project plans, timelines, deal calendars, data rooms, checklists, trackers, documentation, and stakeholder follow-ups—enabling the deal team to focus on critical decisions and transaction strategy.

The ideal candidate will be detail-oriented, highly accountable, comfortable working with senior stakeholders, and capable of managing multiple workstreams under tight deadlines.

Key Responsibilities

1. Deal Execution & Project Management

- Own and maintain end-to-end project plans for live M&A; mandates, including:
- Workstreams
- Owners
- Dependencies
- Milestones
- Critical paths
- Deadlines

- Maintain the master deal calendar, covering diligence timelines, management presentations, bid deadlines, signing, and closing dates.
- Run the weekly deal cadence, including:

- Meeting agendas
- Status reports
- Decision logs
- Action trackers
- Follow-ups

- Track progress across workstreams and proactively identify delays, dependencies, and potential bottlenecks.
- Ensure action items are assigned to the right owners and followed through to closure.

2. Due Diligence & Data Room Management

- Set up and administer Virtual Data Rooms (VDRs), including folder structures, user permissions, watermarking, and access controls.
- Own and maintain the Information Request List (IRL) across legal, financial, tax, commercial, and other diligence workstreams.
- Coordinate with target companies and advisors to obtain outstanding information and ensure timely responses.
- Maintain the Q&A; tracker between buy-side and sell-side teams.
- Ensure all questions, responses, documents, and updates are accurately recorded and easily traceable.
- Monitor data room completeness and highlight critical outstanding information to the deal team.

3. Stakeholder Coordination

- Serve as the central coordination point between:
- Internal deal teams
- Clients
- Target companies
- Legal advisors
- Auditors
- Valuers
- Investment bankers
- Consultants
- Regulators and other external stakeholders

- Schedule and coordinate management meetings, site visits, expert calls, diligence sessions, and other transaction-related meetings.




- Prepare meeting agendas and ensure relevant stakeholders are aligned beforehand.
- Prepare and circulate meeting minutes with clearly defined owners and deadlines.
- Maintain effective communication and follow up consistently across all stakeholders.

4. Documentation & Transaction Closing

- Maintain the transaction closing checklist and track all conditions precedent through signing and closing.
- Monitor outstanding documentation and approvals required for completion.
- Ensure transaction documentation is properly organised, version-controlled, and readily accessible.
- Support the transition from transaction execution to Post-Merger Integration (PMI).
- Assist with:
- Day 1 readiness checklists
- Integration workstream setup
- Initial synergy tracking
- Post-closing action trackers

- Ensure deal files remain audit-ready, confidential, and compliant with internal protocols throughout the transaction lifecycle.

What Success Looks Like in the First 90 Days

Within the first 90 days, you should be able to provide a complete and accurate view of the status of every assigned mandate through your trackers and project plans.

A partner or senior deal team member should be able to ask:

“Where are we on this mandate?”

and receive a clear answer covering progress, outstanding actions, owners, deadlines, risks, and next steps—without having to reconstruct the status themselves.

Requirements

Must Have

- 2–5 years of experience in one or more of the following:
- Project Management
- PMO
- Transaction Support
- Deal Advisory Operations
- M&A; Coordination
- Professional Services
- Consulting
- Investment Banking support

- Demonstrated experience managing multiple parallel workstreams with tight deadlines.
- Strong stakeholder management and coordination skills, including experience working with senior professionals.
- Strong command of project management tools such as:

- MS Project
- Asana
- Mondaycom
- Jira
- Smartsheet
- Or equivalent project management platforms

- Advanced MS Excel and PowerPoint skills.
- Working knowledge of the M&A; transaction lifecycle, including:

- Term sheets
- Due diligence
- Transaction documentation
- Signing
- Closing





- Excellent follow-through and ownership mindset.
- Solid attention to detail and ability to maintain accurate trackers and documentation.
- Ability to work under pressure and manage competing priorities.
- High level of discretion when handling confidential and price-sensitive information.

Good to Have

- Experience working with Virtual Data Room platforms such as:
- Ansarada
- Datasite
- iDeals
- Firmex
- SecureDocs

- Exposure to Post-Merger Integration (PMI) or business transformation programmes.
- PMP, PRINCE2, CAPM, or equivalent project management certification.
- Experience working on cross-border M&A; transactions, particularly involving:

- USA
- UK
- Middle East
- Southeast Asia

- Prior experience in investment banking, transaction advisory, Big 4, consulting, or corporate M&A; environments.

You should be comfortable owning trackers, chasing stakeholders, managing deadlines, identifying gaps, and ensuring that every action item gets closed.

You will work closely with live transactions but will primarily be responsible for execution, coordination, and delivery rather than financial modelling or valuation.

Who This Role Is Not For

This is not an investment banking analyst or financial modelling role.

If your primary interest is financial modelling, company valuation, financial analysis, or deal structuring, you may be better suited to a transactions/analyst role.
