Key Responsibilities:
1. Interview Scheduling & Coordination:
Manage the end-to-end scheduling and coordination of interviews across multiple regions, time zones, and business functions.
Coordinate interviews between candidates, interviewers, recruiters, and hiring managers while ensuring all stakeholders have the required information.
Schedule, reschedule, and cancel interviews in a timely manner, adhering to defined Service Level Agreements (SLAs) and turnaround times.
Validate candidate and interviewer availability, time zones, interview duration, and other scheduling requirements before confirming interviews.
Manage complex scheduling scenarios involving multiple interviewers, panel interviews, sequential interviews, and changes to interview plans.
Send accurate and timely interview confirmations, calendar invitations, and related communications.
Monitor interview schedules and proactively follow up on outstanding confirmations or missing information.
Ensure interview-related data is accurately maintained in the applicable recruiting and scheduling systems.
2. Candidate & Stakeholder Experience:
Serve as a key point of contact for candidates and internal stakeholders throughout the interview scheduling process.
Provide timely, qualified, and clear communication to candidates, recruiters, hiring managers, and interviewers.
Handle scheduling challenges and escalations with a solutions-oriented approach.
Maintain a high level of confidentiality when handling candidate and employee information.
Deliver a consistent and positive candidate experience throughout the scheduling process.
3. Queue & Operational Management:
Monitor scheduling queues and prioritize requests based on business requirements, interview timelines, and agreed SLAs.
Manage high-volume scheduling requests while maintaining accuracy and attention to detail.
Track pending actions and proactively follow up to ensure requests are completed within the required turnaround time.
Support regional and cross-functional teams during periods of increased hiring activity or business-critical hiring initiatives.
Provide backup support across regions and teams as required.
4. Reporting & Continuous Improvement
Maintain accurate records and contribute to scheduling metrics and operational reporting.
Monitor key performance indicators such as scheduling turnaround time, reschedule volumes, cancellations, and SLA adherence.
Identify recurring scheduling challenges and recommend process improvements.
Participate in system testing, process enhancements, and implementation of new recruiting technologies and workflows.
Support the development and maintenance of process documentation, playbooks, and standard operating procedures.
Required Qualifications & Skills:
Bachelor's degree or equivalent experience.
Fresher or less than 1.5 years of experience in interview scheduling, recruiting coordination, Talent Acquisition Operations, HR Operations,
customer service, or a related field.
Strong organizational and time-management skills with the ability to manage multiple priorities simultaneously.
Excellent written and verbal communication skills.
Strong attention to detail and a high degree of accuracy.
Ability to work effectively with stakeholders across different geographies and time zones.
Strong problem-solving and decision-making skills.
Ability to work independently while also collaborating effectively within a team environment.
Proficiency in Microsoft Outlook, Excel, Teams, and other productivity tools.
Ability to quickly learn and navigate applicant tracking systems, recruiting platforms, scheduling tools, and other HR technologies.
Preferred Qualifications
Experience working in a global Talent Acquisition or HR Operations environment.
Experience with Applicant Tracking Systems (ATS), particularly Oracle Recruiting Cloud (ORC) or similar recruiting platforms.
Experience managing high-volume interview scheduling across multiple regions.
Familiarity with SLA-driven operations and queue management.
Experience supporting process transitions, system implementations, UAT, or workflow improvements.
Experience working with reporting and data-analysis tools.
