Reports To: Manager – Finance

Role Description The Senior Finance Executive – Accounts Payables will manage and oversee the end-to-end accounts payable function in a dynamic fashion retail environment.

Responsibilities include processing vendor invoices, verifying purchase orders, ensuring timely payments, and reconciling vendor accounts. The role will involve monitoring adherence to GST and other statutory requirements, supporting monthly closing activities, and contributing to accurate financial reporting. The executive will collaborate closely with procurement, warehouse, and other finance team members to resolve discrepancies, optimize payment cycles, and maintain strong vendor relationships.

This is a full-time, on-site role based in Bengaluru.

Key Responsibilities

- Invoice Management & Verification
- Track all incoming bills and maintain updated records daily.




- Verify vendor invoices and ensure accuracy before submission to Accounts.
- Coordinate with vendors for any discrepancies and ensure timely corrections.
- Get bills audited by the concerned approver.

2. Payment Processing & Follow-ups

- Prepare and send payment advice emails as per schedule.
- Ensure timely payment processing in coordination with the accounts team.
- Follow up regularly with the finance team to ensure payments align with timelines.

3. Vendor Coordination

- Raise tickets with vendors for issues related to invoices or services.
- Follow up on open tickets until resolution and maintain documentation.
- Communicate regularly with vendors to ensure smooth workflow and timely submissions.

4. Debit Note & Working Verification

- Conduct working verification for services availed.
- Process and confirm debit notes, ensuring accuracy of deductions.
- Maintain reconciliations and supporting documents for reference.

5. Reporting & Documentation

- Maintain daily trackers for invoice receipts, verifications, and payment status.
- Prepare summary reports for management review.
- Ensure proper filing and documentation of all AP-related records.

Key Skills & Competencies

- Strong understanding of Accounts Payable processes.
- Excellent communication and vendor management skills.
- Attention to detail and high accuracy in bill verification.
- Ability to work with tight timelines and multiple stakeholders.
- Proficiency in MS Excel and documentation.

Qualifications

- Bachelor’s degree in Commerce, Finance, or related field.
- 3-4 years of experience in Accounts Payable.
- Experience in manufacturing/garment industry is an added advantage.
