The role A Purchasing Coordinator manages the daily tasks that keep an organization's procurement process running smoothly, including preparing purchase orders, tracking deliveries, and maintaining accurate vendor and inventory records. They liaise closely with suppliers to resolve issues around delays, discrepancies, or quality, while coordinating internally with finance and operations to verify budgets and match invoices to received goods. Strong organizational skills and attention to detail are essential, as the role often serves as the primary point of contact between the company and its vendors.

Ultimately, the Purchasing Coordinator helps control costs and ensures the business has the materials it needs to operate efficiently.

What you’ll do

- Send RFQs (Requests for Quotation) to suppliers and follow up proactively




- Evaluate supplier quotes based on: reliability, lead times, specification accuracy
- Select the best supplier and place purchase orders
- Handle payment processing and order confirmation
- Monitor production timelines and hold suppliers accountable to deadlines
- Conduct virtual quality control (QC) checks before shipment
- Prepare packing lists and coordinate shipment logistics
- Track shipments through to final delivery
- Manage after-sales support related to completed orders
- Ensure all workflows strictly follow brand guidelines and SOPs

What We're Looking For

- Experience: 1-1.5 years of sourcing experience (ideally lighting)
- Knowledge of: CRM, Google Sheets, Asana, Discord, WeChat, Shopify is a plus

The Details

- Location: Remote
- Schedule: Full-time, minimum 40 hours/week; 09:00 PM to 06:00 AM EST.
- Time off: 10 days paid time off per year.
- Tools: Hours logged via Hubstaff; dedicated remote workspace expected.
