POSITION SUMMARY & OBJECTIVE The HR Executive will serve as the operational cornerstone for human resources management at the Hajipur manufacturing plant and corporate office. The role demands an agile, hands-on HR generalist capable of driving shop-floor and technical talent recruitment, administering multi-shift attendance and payroll inputs, maintaining flawless statutory labor compliance, organizing audit-ready WHO-GMP personnel training logs, and fostering constructive industrial relations across a 75+ strong workforce.

3. KEY ROLES & RESPONSIBILITIES

A. Talent Acquisition & Manpower Allocation

· Plant Manpower Planning: Partner with Plant Managers and Department Heads to assess shift-wise manpower requisitions (MRFs) and fill staffing voids promptly.

· End-to-End Recruitment: Lead hiring cycles for machine operators, visual inspection workers, QA/QC chemists, microbiologists, storekeepers, and administrative personnel.

· Sourcing & Screening: Utilize online recruitment portals, local employment exchanges, technical polytechnics/ITI networks, and internal referrals for talent sourcing.

· Selection & Onboarding: Coordinate technical interviews, negotiate offers, verify background documentation, and facilitate day-one joining formalities.

B. Induction & WHO-GMP Training Coordination





· Structured Plant Induction: Conduct comprehensive orientation for new employees on plant safety, company policies, code of conduct, and hygiene regulations.

· GMP & SOP Training Management: Collaborate closely with Quality Assurance (QA) and Safety Officers to schedule and document mandatory WHO-GMP, GLP, and fire-safety training.

· Audit Documentation: Maintain meticulous, up-to-date employee training cards, qualification certificates, and competence matrix records for regulatory and customer audits.

C. Statutory Compliances & Labor Regulations

· Labor Statute Adherence: Ensure 100% adherence to the Factories Act, 1948, Minimum Wages Act, Payment of Wages Act, Payment of Gratuity Act, and Bihar State Factory Rules.

· Portal Filings & Returns: Manage monthly calculation, challan generation, and timely online portal submissions for Provident Fund (EPFO), ESIC, and Qualified Tax (PT).

· Statutory Registers Maintenance: Maintain audit-ready statutory registers (Muster Roll, Overtime Register, Adult Worker Register, Accident Register, Fines & Advances Register).

· Audit Facilitation: Represent the HR department during labor department inspections, factory inspectorate visits, and third-party vendor audits.

D. Shift Rostering, Attendance & Payroll Input Management

· Biometric Attendance Monitoring: Administer daily biometric attendance and shift allocations (Morning, Evening, Night, and General shifts) for 150+ plant personnel.

· Leave & Overtime Tracking: Accurately record daily leaves, late marks, on-duty (OD) gate passes, and production overtime (OT) in alignment with operational requirements.

· Payroll Input Compilation: Reconcile and generate finalized monthly payroll inputs (attendance days, OT hours, deductions, advances) for the Accounts department.

· Query Resolution:



Disburse monthly pay slips and promptly resolve worker discrepancies regarding wages, attendance, and benefits.

E. Industrial Relations, Plant Welfare & Employee Engagement

· Grievance Redressal: Serve as the first point of contact for employee grievances; maintain positive shop-floor relations and resolve conflicts proactively.

· Plant Welfare Amenities: Oversee worker amenities including canteen hygiene, pure drinking water supplies, restroom sanitation, uniform supply, and safety PPE kit allocation.

· Separation Formalities: Conduct professional exit interviews, coordinate clearance handovers, and oversee prompt Full & Final (F&F;) settlement processing.

· Engagement Initiatives: Organize annual health screenings, National Safety Week events, festival celebrations, and employee recognition programs.

4. CANDIDATE SPECIFICATIONS & QUALIFICATIONS

Education & Experience Profile

- Qualification: Regular MBA / PGDM in Human Resources, Master of Social Work (MSW), or Post Graduate Diploma in Personnel Management (PGDPM/DLL).
- Relevant Experience: 2 to 5 years of proven HR experience in a manufacturing plant setting, preferably in Pharmaceuticals, Chemicals, Medical Devices, or FMCG.
- Plant Understanding: Sound familiarity with industrial labor dynamics, shop-floor worker handling, and shift rosters.

Technical Skills & Competencies

- Statutory Expertise: Hands-on familiarity with EPFO, ESIC online portals, Factories Act documentation, and labor returns.
- Software Proficiency: Advanced knowledge of MS Excel (Formulas, VLOOKUP, Pivots, Attendance templates) and Biometric HRMS tools.
- Communication Skills: Fluent verbal and written command in English and Hindi (spoken Hindi fluency is mandatory for plant operations).
