Purpose of the Role The Human Resource Operations Executive is responsible for managing and delivering efficient HR operational services across the employee lifecycle. This includes recruitment administration, onboarding, employee data management, HRIS administration, employee confirmations, attendance and leave management, employee separation processes, vendor coordination, and HR reporting.

Key Responsibilities

1. Recruitment Administration & Onboarding

- Conduct reference checks for selected candidates prior to joining.
- Coordinate onboarding activities and ensure completion of employee documentation.
- Prepare and issue appointment letters and other employment-related documents.
- Share monthly MIS reports with HR Business Partners and follow up on employment due diligence activities.
- Coordinate opening of salary bank accounts for newly hired employees.
- Support Compensation & Benefits (C&B;) projects and HR process improvement initiatives.
- Update and implement HR procedures, protocols, and work instructions in collaboration with relevant stakeholders.

2. HR Operations & Employee Lifecycle Management

Prepare and issue employee lifecycle-related documentation, including:

- Confirmation Letters, Promotion Letters, Experience Letters, Relieving Letters, Transfer Letters, Re-designation Letters and other HR-related communications.
- Maintain employee records and personnel files in accordance with company requirements.
- Ensure complete accuracy, confidentiality, integrity, and security of employee data.
- Support end-to-end employee lifecycle processes.

3. HRIS & Organizational Management

- Create employee SAP IDs in SuccessFactors for new hires.
- Deactivate employee records for separated employees.
- Create and maintain employee profiles within HRIS systems.
- Create and maintain positions within HRIS as required.
- Ensure timely updates in HRIS New Joiners, Promotions, Transfers, Confirmations,



Resignations, Re-designations, Organizational Changes

Organizational Structure Management

- Coordinate and maintain the organizational structure and organization charts.
- Update reporting relationships, department hierarchies, position movements, and organizational changes.
- Generate and distribute updated organization charts for workforce planning, management reviews, and business requirements.

- Reporting & HR Analytics

- Prepare and publish monthly HR dashboards and MIS reports.
- Generate workforce reports and employee data analyses as required.
- Support management by providing:
- Headcount Reports
- Attrition Reports
- HR Metrics
- Operational Reports
- Workforce Analytics

5. Attendance & Leave Management

- Track and maintain employee attendance records.
- Administer and maintain leave balances within HR systems.
- Address employee and manager queries related to attendance and leave management.
- Generate attendance and leave reports for management review.
- Provide monthly payroll inputs related to attendance and leave records.

6. Employee Relations & Engagement

- Support employee engagement programs and initiatives.
- Assist with employee benefits activation and awareness campaigns.
- Coordinate employee wellness initiatives and related activities.

7. Employee Separation Management

- Process employee resignations and complete separation formalities.
- Prepare and issue resignation acceptance letters and separation communications.
- Coordinate the return of company assets and completion of exit clearance processes.
- Announce employee separations to relevant stakeholders.
- Coordinate with Compensation & Benefits for Full and Final Settlement processing.
- Ensure timely deactivation of employee records, HRIS profiles, and system access.

8. Vendor Management, Purchase Orders & Budget Tracking

- Prepare Purchase Orders (POs) for the Compensation & Benefits function.




- Coordinate with Finance to ensure timely processing and payment of vendor invoices.
- Maintain vendor payment trackers.
- Follow up on pending payments and resolve payment-related issues.

Additional Responsibilities

- Support internal and external audits by providing HR records and reports.
- Drive continuous improvement initiatives within HR Operations.
- Ensure compliance with company policies, HR processes, and statutory requirements.
- Participate in special projects and assignments as delegated by the Head of HR.
- Serve as a key point of contact for employee HR operational queries.

Education & Experience

- Bachelor's Degree in Human Resources, Business Administration, Commerce, or a related discipline.
- 3 to 6 years of experience in HR Operations, HR Shared Services, or HR Administration.
- Experience working with SAP SuccessFactors and HRIS platforms.
- Strong exposure to:
- Employee Lifecycle Management
- HR Reporting & Analytics
- Attendance & Leave Administration
- Vendor Coordination
- HR Operations and Compliance

Employment Type

This is a contractual position for a period of 11 months and the selected candidate will be employed through a third-party payroll partner.
