Position Overview:
The receptionist is responsible for greeting visitors, handling phone calls, and performing various administrative tasks to ensure smooth operation of the office. This role involves a high level of customer service and organization.
Responsibilities:
Greeting and Welcoming Visitors:
Greet visitors and clients in a skilled and courteous manner.
Direct visitors to the appropriate person or department.
Handle visitor check-in and check-out procedures.
Phone and Email Management:
Answer and direct phone calls promptly and professionally.
Manage voicemail and email correspondence, ensuring timely responses.
Schedule and confirm appointments and meetings.
Administrative Support:
Perform data entry and maintain accurate records and files.
Prepare and distribute internal and external correspondence.
Manage office supplies and inventory, placing orders as needed.
Scheduling and Coordination:
Assist with scheduling meetings, conferences, and travel arrangements.
Coordinate with other departments to ensure effective office operations.
Customer Service:
Address and resolve inquiries and issues from clients, visitors, and employees.
Provide information about the company and its services/products.
Office Maintenance:
Ensure the reception area is tidy and presentable.
Report any maintenance or repair needs to the appropriate department.
Qualifications:
High school diploma or equivalent required. Additional administrative or customer service certifications are a plus.
Experience:
Previous experience in a receptionist or administrative role is preferred.
Salary :- 14K to 16K per month
Skills:
Excellent communication and interpersonal skills.
Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Robust organizational and multitasking abilities.
Ability to maintain confidentiality and handle sensitive information.
