Job Summary
The Global Employee Data Analyst works closely with the HR Capability Center to safeguard the integrity of employee data in the Workday transactions, while owning high-volume employee documentation and statutory compliance activities (EPFO and NPS).
The role processes new hire, job change, time off and absence transactions, and employee/manager direct access submissions, ensuring all data is actioned accurately and on time. It maintains foundational data such as supervisory organizations, cost center assignments and position titles, and completes weekly payroll reconciliation - reviewing audit reports, analyzing discrepancies and processing updates so the Workday-to-payroll feed remains correct.
In parallel, the role prepares employment verification and compliance documentation, coordinates with third-party compliance vendors, and resolves Provident Fund (PF), Pension and NPS matters within statutory timelines. Success in this position requires exceptional attention to detail, the ability to manage high transaction volumes accurately, and working knowledge of HCM and statutory processes.
Key Responsibilities
Workday Data Management - Employee Records
- Maintain and/or approve all data pertaining to employee records in Workday (transfers, personal information, title changes, etc. ) entered in Workday through Manager or Employee Direct Access.
- Complete pending current hire transactions in Workday HCM once the candidate reaches Ready to Hire status in the ATS.
- Support execution of employee movement, employee status, time off and leave of absence, payroll, benefits, Performance Check-ins and compensation processes through accurate, on-time data maintenance.
- Maintain supervisory organizations, organization assignments,
cost center assignments and position titles.
- Support the integrity of employee records and Workday data, assuring legal and regulatory compliance.
- Review integration kickout reports from various systems and process corresponding updates in Workday.
- Complete reports, documents and forms requiring HCM data, including People Doc processes.
- Reviewing audit reports, analyzing discrepancies and processing appropriate updates.
- Process employee reimbursement transactions: validate submitted documentation and request payment via payroll.
Statutory Compliance - PF, Pension NPS
- Handle employee queries relating to Provident Fund (PF) and Pension accounts, including cases requiring correction.
- Review PF passbooks and employee service history to identify discrepancies and evaluate the root cause of correction requests.
- Coordinate with employees and vendors to prepare addendum letters, correction letters and supporting documentation for PF/Pension corrections.
- Approve KYC updates and PF transfer requests on the EPFO/PF portal in line with compliance requirements, ensuring all corrections and transfers are processed within statutory timelines.
- Collect revised Form 11 submissions and route them to the next-level team for action.
- Manage monthly NPS linking letters, NPS portal approvals and reporting requests in line with company policies,
benefits and compliance requirements.
Vendor Coordination
- Act as the primary point of contact for third-party compliance vendors.
- Review, validate and prepare vendor-issued compliance letters for accuracy prior to issuance.
- Track vendor deliverables and ensure timely closure of compliance requests.
Continuous Improvement
- Identify, troubleshoot and escalate issues as appropriate, and make process recommendations to achieve operational excellence.
- Enhance content, FAQs and LWIs based on case resolution feedback, in collaboration with functional teams.
- Identify and report case or product trends to management and Senior WFA, working with HR functional teams to improve service to the workforce.
- Work collaboratively across the HR team for consistent execution of key HR processes across regions and functional areas.
- Collaborate with all functional teams so People Services collectively achieves TAT
- Participate ad-hoc projects and other duties as assigned.
Qualifications Experience
- Bachelors degree in or equivalent qualification in HR (HR specialization preferred).
- Minimum 5 years working with HRIS/HCM systems; 5+ years in HR administration, compliance or a related field preferred.
- Prior experience with PF / EPFO / NPS processes strongly preferred.
