Role Purpose
The Assistant Manager HR Operations & Payroll will work as an individual contributor and independently manage end-to-end payroll, statutory compliance, HRMS administration, employee onboarding, training coordination, and day-to-day HR operations.
The role requires strong hands-on experience with SPINE Payroll and SPINE HRMS, sound knowledge of statutory compliance, accuracy in salary processing, and the ability to handle confidential employee information professionally.
Key Responsibilities
Payroll Management
- Independently process monthly payroll through SPINE Payroll.
- Maintain employee master data, salary structures, attendance, leave, incentives, reimbursements, deductions, loans, advances, and full-and-final settlements.
- Verify attendance, leave, overtime, loss of pay, and variable-pay inputs before payroll processing.
- Generate salary sheets, payslips, bank transfer files, payroll reports, and management summaries.
- Handle payroll-related employee queries and resolve discrepancies promptly.
- Ensure payroll is processed accurately and within the approved monthly timeline.
Statutory Compliance
- Manage compliance related to PF, ESIC, Skilled Tax, TDS on salary, Labour Welfare Fund, gratuity, bonus, and other applicable labour laws.
- Prepare and coordinate timely statutory payments, returns, challans, registers, and supporting documents.
- Maintain statutory records and ensure readiness for internal or external audits.
- Coordinate with consultants, government authorities, and finance teams whenever required.
- Track changes in labour and payroll regulations and support implementation.
SPINE HRMS Administration
- Maintain accurate employee records in SPINE HRMS.
- Manage employee onboarding, attendance, leave, shift, holiday, document, and exit-related workflows.
- Generate HRMS reports for management, payroll, attendance, leave, and employee data.
- Ensure data accuracy, system discipline, and timely updates by employees and managers.
- Coordinate with the SPINE support team for system issues, enhancements,
and user support.
Onboarding and Employee Lifecycle
- Manage joining formalities, employee documentation, offer-related paperwork, background-check coordination, and induction.
- Create and maintain employee personnel files, both physical and digital.
- Coordinate confirmation, transfers, promotions, salary revisions, resignations, and exit formalities.
- Conduct exit documentation and support full-and-final settlement processing.
- Ensure all employee records remain complete, accurate, and confidential.
Training and Development Coordination
- Identify training requirements in coordination with department heads.
- Prepare annual and monthly training calendars.
- Coordinate internal and external training programmes, attendance, feedback, and training records.
- Maintain training effectiveness reports and certification records where applicable.
- Support employee engagement, communication, and HR initiatives.
HR Operations and Reporting
- Handle routine HR operations including attendance, leave, employee queries, letters, policies, and documentation.
- Prepare monthly HR reports such as headcount, joining, attrition, attendance, leave, payroll, training, and statutory-compliance status.
- Support implementation and communication of HR policies and procedures.
- Maintain strict confidentiality of payroll, employee, and management information.
- Take ownership of assigned HR projects and ensure completion within agreed timelines.
Required Qualifications
- Graduate or postgraduate degree in Human Resources, Commerce, Management, or a related field.
- MBA/PGDM in HR will be preferred.
- Relevant certification in payroll, labour laws, or HR operations will be an advantage.
Required Experience
- Minimum 4 years of relevant experience in HR operations and payroll.
- Hands-on experience in independently processing payroll through SPINE Payroll.
- Practical experience with SPINE HRMS, statutory compliance, onboarding, training coordination, and employee documentation.
- Experience in a trading, distribution, manufacturing, or similar organisation will be preferred.
