ABOUT THE ROLE

We are a specialist B2B Destination Management Company (DMC) focused exclusively on Iceland, Scandinavia, and Finland. Our clients are tour operators and travel agents — we don't deal with end travellers directly. We handle the full cycle: supplier negotiations, itinerary design, cost sheets, bookings, on-ground coordination, and post-trip reconciliation.

This role sits at the operational core of the business. You'll own the execution of bookings from initial enquiry to delivery, work closely with international suppliers, and act as the primary point of contact for our B2B clients during the operations phase.

WHAT YOU'LL DO
- Manage end-to-end bookings for group and FIT itineraries across Iceland, Norway, Sweden, Finland, and Denmark — from quotation to final documentation
- Coordinate with hotels, transport operators, activity providers, and local guides to confirm, amend, and track bookings




- Prepare detailed costing sheets and quotations with accuracy and turnaround speed
- Handle supplier correspondence professionally — confirmations, amendments, cancellations, and invoicing
- Liaise with B2B clients (travel agents and tour operators) during the operations phase to resolve queries and manage changes
- Maintain booking records, reservation trackers, and documentation on internal systems
- Monitor payment deadlines, release dates, and client payment schedules
- Assist in researching new suppliers, products, and experiences in destination
- Support the team during high-volume seasons (Northern Lights winter season, Midnight Sun summer season)

WHAT WE'RE LOOKING FOR
- 1-2 years+ in travel operations, preferably with a DMC, tour operator, or travel agency
- Solid understanding of how B2B travel works — FITs, groups, SICs, and custom itineraries
- Written English — you'll be corresponding with international suppliers and clients daily
