Position Summary

We are looking for an experienced Factory HR & Admin Manager to manage end-to-end HR and administrative operations for our Bengaluru manufacturing facility.

The role will be responsible for workforce planning, recruitment, employee relations, contract labour management, attendance and payroll coordination, statutory compliance, employee engagement, factory administration, security, housekeeping, transport, canteen, facilities, and overall employee discipline.

The ideal candidate should have strong hands-on experience in factory HR, industrial relations, contract labour management, statutory compliance, and administration, preferably within FMCG, manufacturing, personal care, or similar industries.

Key Responsibilities

1. Factory HR Operations

· Manage end-to-end HR operations for the Bengaluru factory.

· Partner with the Factory Head and functional managers on manpower planning and workforce requirements.

· Manage recruitment, onboarding, transfers, promotions, confirmation, and employee lifecycle processes.

· Maintain accurate employee records and HR documentation.

· Ensure effective implementation of company HR policies and processes at the factory.

· Monitor attendance, shifts, overtime, leave, and employee discipline.

2. Manpower Planning & Recruitment

· Plan manpower requirements based on production plans and business requirements.

· Coordinate recruitment for permanent, temporary, and contract workforce.

· Maintain adequate staffing levels across production, quality, maintenance, warehouse, and support functions.

· Build and maintain local recruitment channels to ensure timely availability of manpower.

· Monitor manpower productivity and absenteeism.

3.Contract Labour Management

· Manage third-party manpower agencies and contract labour.

· Ensure proper deployment of contract manpower as per approved requirements.

· Verify contractor documentation, attendance, wages, and statutory compliances.

· Ensure compliance with applicable labour laws relating to contract workers.

· Monitor contractor performance, productivity, and workforce discipline.

· Resolve grievances and operational issues related to contract labour.

4.Statutory Compliance & Industrial Relations

· Ensure compliance with applicable labour laws and factory-related statutory requirements.

· Coordinate PF, ESIC, PT, labour welfare, minimum wages, bonus, gratuity, and other applicable compliances.

· Maintain statutory registers, records, notices, and documentation.





· Coordinate with labour authorities and government departments whenever required.

· Handle employee grievances, disciplinary matters, absenteeism, and misconduct cases.

· Maintain healthy industrial relations and a positive work environment.

· Support factory audits, inspections, and statutory assessments.

5.Payroll & Attendance Management

· Ensure accurate attendance and shift data for payroll processing.

· Coordinate with the central HR/payroll team for monthly payroll inputs.

· Monitor overtime, incentives, deductions, leave, and attendance irregularities.

· Ensure timely resolution of payroll-related employee queries.

· Verify contract labour wage and attendance records.

6.Employee Engagement & Welfare

· Drive employee engagement initiatives at the factory.

· Organise employee welfare activities, celebrations, recognition programs, and communication initiatives.

· Address employee concerns and ensure timely grievance resolution.

· Support employee development, training, and capability-building initiatives.

· Promote a positive and disciplined workplace culture.

7.Factory Administration

· Oversee day-to-day administrative operations of the factory.

· Manage housekeeping, security, canteen, transportation, uniforms, PPE, and other employee facilities.

· Ensure adequate infrastructure and workplace facilities for employees.

· Manage administrative vendors and service providers.

· Monitor facility-related costs and ensure expenses remain within approved budgets.

· Ensure proper maintenance of administrative records and documentation.

8.Security & Safety Coordination

· Manage factory security operations and security agencies.

· Ensure proper access control and visitor management.

· Coordinate with the EHS/Safety team to ensure employees follow safety protocols.

· Support implementation of safety awareness and emergency preparedness programs.

· Assist in incident reporting and corrective-action processes.

9.HR MIS &. Reporting

· Prepare and maintain regular HR and factory administration MIS.

· Track headcount, absenteeism, attrition, overtime,



manpower cost, contract labour, and recruitment status.

· Monitor HR KPIs and identify areas requiring corrective action.

· Present HR and administration reports to the Factory Head and senior management.

10.HR Policy & Process Implementation

· Ensure consistent implementation of company HR policies at the factory.

· Develop and improve factory-level HR processes and SOPs.

· Identify opportunities to improve employee productivity, retention, discipline, and engagement.

· Act as the key HR point of contact for factory employees and management.

Required Skills & Qualifications

· Bachelor’s degree in HR, Business Administration, Labour Relations, or a related field.

· MBA/PGDM in HR or an equivalent qualification will be preferred.

· 8–12 years of HR experience, with significant experience in factory/manufacturing HR.

· Strong hands-on experience in industrial HR and employee relations.

· Experience managing contract labour and manpower agencies.

· Strong knowledge of labour laws and statutory compliance.

· Experience in payroll, attendance, recruitment, and HR operations.

· Solid administration and vendor-management skills.

· Excellent communication, negotiation, and problem-solving abilities.

· Strong MS Excel and HR MIS skills.

Preferred Industry Experience

Experience in any of the following industries will be preferred:

· Beauty & Personal Care

· Cosmetics / Soap Manufacturing

· Manufacturing

· D2C / Consumer Products

· E-commerce fulfilment / warehouse operations

Ideal candidate The ideal candidate should be a hands-on Factory HR professional who can independently manage HR and administration for a manufacturing facility, build strong employee and contractor relationships, ensure labour-law compliance, maintain discipline, and work closely with the Factory Head to support smooth and efficient plant operations.
