Manager – MICE Operations & Hotel Contracting

WNY Holidays is looking for an experienced Manager – MICE Operations & Hotel Contracting with 6–8 years of relevant experience in managing corporate groups, conferences, incentive tours and events.
The candidate should have robust hotel relationships, commercial negotiation skills and the ability to independently manage MICE operations from enquiry to final closure.
Key Responsibilities
Manage hotel sourcing and contracting across India and international destinations, including group rates, inclusions, room inventory, upgrades, complimentary rooms, payment terms, cancellation policies and attrition clauses.
Develop and maintain strong relationships with hotels, DMCs, transporters, production agencies, restaurants and other MICE suppliers.
Prepare competitive group costings, compare supplier proposals, negotiate commercially favourable terms and protect planned event profitability.
Independently manage complete MICE operations, including rooming lists, accommodation, transport, F&B;,



conferences, gala dinners, sightseeing, activities and event production.
Prepare operational documents such as movement plans, rooming lists, vehicle charts, vendor briefs, function schedules and event run sheets.
Coordinate with clients, sales teams, hotels and vendors; travel with groups when required and manage on-ground execution, last-minute changes and emergencies.
Track advances, payment schedules and vendor commitments; verify invoices, complete event reconciliation and maintain accurate records in CRM.
Maintain an updated database of hotel rates, contracting history, supplier performance and destination-wise operational information.
Candidate Profile
6–8 years of hands-on experience in MICE operations, corporate travel, hospitality or a destination-management company.
Strong experience in hotel contracting, group negotiations, costing and independent execution of medium-to-large corp
