A Dispatch Executive in an Ayurvedic pharmaceutical company is responsible for managing the dispatch of finished herbal medicines while ensuring compliance with GMP (Good Manufacturing Practices), proper documentation, and timely delivery to distributors, stockists, and clients.

Key Responsibilities

1. Dispatch Planning & Coordination
- Plan daily dispatch schedules based on sales orders and production output
- Coordinate with production, QA, and warehouse teams for order readiness
- Arrange transport (local and interstate) for timely deliveries

2. Documentation & Compliance
- Prepare and verify dispatch documents such as:
- Invoice & delivery challan
- E-way bills (for GST compliance)
- Batch-wise packing lists
- Ensure compliance with Ministry of AYUSH guidelines
- Follow standards under Good Manufacturing Practice (GMP)

3. Batch & Inventory Management
- Ensure correct batch selection (FIFO/FEFO method - First Expiry First Out)
- Verify batch numbers, manufacturing date, expiry date, and labeling
- Maintain stock records of finished goods

4. Quality & Safety Checks




- Coordinate with Quality Assurance (QA) to ensure goods are approved for dispatch
- Ensure proper packaging to maintain product integrity (especially herbal formulations)

5. Logistics & Tracking
- Monitor shipment status and ensure timely delivery
- Handle transportation issues, delays, or damages
- Maintain coordination with transporters and distributors

6. Record Keeping & Reporting
- Maintain dispatch registers and digital records
- Prepare daily/weekly dispatch reports
- Track pending and completed orders

Required Skills:
- Knowledge of pharma/AYUSH dispatch procedures
- Understanding of batch tracking and expiry management
- Familiarity with GST, E-way bills, and invoicing
- Robust coordination and communication skills
- Attention to detail (critical for pharma compliance)
- Basic ERP/software knowledge

Qualifications
- Bachelor’s degree (B.Sc., B.Pharm, BBA, or related field preferred)
