Role Summary

The Export Documentation Trainee will assist the Export Operations team in managing pre-shipment documentation, coordinating with suppliers and CHA, preparing shipping documents, and ensuring timely submission to banks and regulatory authorities. This role aims to develop a robust foundation in export documentation processes and international trade compliance.

Key Responsibilities

1. Pre-Shipment BRS & Documentation Tracking
- Assist in maintaining and updating BRS sheet for all pre-shipment tasks
- Ensure accurate data entry and timely updates against each shipment
- Support in tracking shipment documentation status

2. Supplier Coordination & Dispatch Documents
- Collect dispatch-related documents (e.g., test reports, stuffing photos) from suppliers
- Coordinate with suppliers for container arrangements
- Ensure timely submission of documents to CHA

3. CHA Coordination & B/L Handling
- Verify Shipping Bills before CHA approval
- Assist in preparing and reviewing B/L draft copies
- Follow up for B/L receipt post vessel sailing




- Maintain delay records for pending B/Ls
- Support in checking LC / Shipping Instructions received from customers

4. Customer Communication & Bank Submission
- Assist in preparation of export documents for LC and CAD shipments
- Support in reviewing documents prior to bank submission
- Ensure documents are submitted to bank within defined timelines

5. Export File Management & Audit Compliance
- Maintain export shipment files and documentation records
- Support monthly audit documentation and file verification
- Ensure all documents are complete and properly filed

Qualifications
- Graduate in Commerce / Business Administration / Supply Chain Management
- Basic knowledge of Export Documentation (preferred)

Required Skills:
- Good communication and coordination skills

- Ability to manage multiple tasks
