Sales Coordinator / Operations Executive

Role Objective

We are looking for a high-energy Sales Coordinator / Operations Executive to act as the central point of contact between our sales team, high-profile pharmaceutical clients, and our production facility. You will be responsible for ensuring that the journey from "Sales Inquiry" to "Final Invoice" is seamless, accurate, and timely.

Job Requirements
- Experience: 3 to 15 years in Sales Coordination, Billing, or Back-office Operations.
- Joining Status:Immediate Joiner preferred.:
- Industry: Prior experience in Pharma Machinery, Spares, or Engineering is a strong plus.

Core Responsibilities

1. Sales & Client Coordination
- Serve as the bridge between the on-field sales team and customers.
- Respond to client inquiries regarding spare parts (sieves, screens, machine components).
- Follow up with clients to convert inquiries into confirmed Purchase Orders (POs).

Order Management & Execution
- Verify technical specifications of spares once an order is received to ensure 100% accuracy.
- Check stock availability and coordinate with the factory production team to meet delivery timelines.
- Update the sales team and clients regularly on order status.

3. Billing, Accounting & Dispatch (Tally)
- Perform all data entry in Tally, including Sales Orders and Proforma Invoices.
- Generate final Tax Invoices, Packing Lists, and E-Way bills for all shipments.
- Coordinate with the logistics/transport department to ensure the secure dispatch of spares to client sites.

4. Reporting & Compliance
- Maintain accurate records of client accounts and outstanding payments.
- Prepare weekly/monthly sales and dispatch reports for management review.

- Tally Expert: Fast and accurate entry of vouchers and invoices.
- Communication: Clear verbal and written English/Hindi/
