Description
The Agency Hub Executive is responsible for handling day‑to‑day port agency and owner’s husbandry activities within the centralized Agency Hub.
This role supports vessel operations by ensuring timely appointment of port agents, accurate handling of PDA/FDA, effective coordination with internal stakeholders, and consistent communication with vessel owners, ships, and local agents. The position plays a key role in maintaining service quality, cost control, and operational efficiency.
Requirements
What You Will Do:
A. Port Agency & Owner’s Husbandry Operations
· Support assigned port agency and owner’s husbandry activities in line with company procedures and owner requirements.
· Assist in obtaining quotations from port agents and carry out basic cost checks under guidance.
· Support cost comparisons and assist in finalising agent appointments as instructed.
· Communicate port agent appointment details to vessels and relevant departments in a timely manner.
· Assist in coordinating with internal departments (Operations, Technical, Crewing, Finance, QHSE, etc.)
for advance funding requirements.
· Track treasury arrangements and follow up on remittances under supervision.
· Follow up with port agents for timely submission of Final Disbursement Accounts (FDA).
· Assist in checking PDA/FDA against agreed charges and prepare documentation for review.
· Maintain accurate records of agency appointments, PDA/FDA, and supporting documents.
B. Communication & Coordination
· Support coordination with internal teams to ensure smooth agency operations.
· Share relevant updates and documentation to enable timely decision-making.
· Escalate changes in vessel schedules, port requirements, or agency arrangements to the Agency Hub Executive.
· Assist in liaising between vessel owners, operators, ships, and internal stakeholders.
· Support responses to routine operational queries and follow-ups.
