Job Summary:
The OT Surgery Coordinator will act as a single point of contact (SPOC) for surgeons in the OPD, ensuring seamless coordination of all surgical cases from consultation to execution. This role requires robust coordination skills, attention to detail, and the ability to manage multiple stakeholders including consultants, OT staff, patients, and administrative teams.
Key Responsibilities:
1. Surgeon Coordination (Primary Responsibility)
- Act as a dedicated coordinator for assigned surgeons in the OPD.
- Assist surgeons in identifying and listing surgical cases during OPD consultations.
- Maintain clear communication between surgeons and OT departments.
2. Surgery Scheduling & Planning
- Coordinate and schedule surgeries based on surgeon availability, OT slots, and patient readiness.
- Ensure optimal utilization of OT time and resources.
- Block and confirm OT slots in coordination with anaesthesia and nursing teams.
3. Patient Coordination
- Guide patients through the complete surgical process (pre-op to post-op admission).
- Explain admission procedures, documentation requirements, and timelines.
- Ensure all pre-operative investigations and clearances are completed.
4. Documentation & Compliance
- Prepare and validate all necessary documentation including consent forms, pre-op checklists, and medical records.
- Maintain accurate records of scheduled and completed surgeries.
- Ensure compliance with hospital protocols and regulatory requirements.
5. Interdepartmental Coordination
- Liaise with:
- OT team
- Anaesthetists
- Nursing staff
- Billing & insurance teams
- Facilitate smooth handover of patients from OPD to OT.
6. Billing & Insurance Support
- Coordinate with billing team for surgery estimates.
- Follow up on insurance approvals and TPA requirements.
- Ensure financial clearance before admission.
