Job Summary
Pioneer Machines and Automation Private Limited is looking for an organized, proactive, and detail-oriented Project Coordinator to coordinate the execution of customized Factory Automation, Industrial Automation, Robotic Automation, and Assembly Line Automation projects.
The Project Coordinator will be responsible for collecting project-related information from all departments, consolidating the data into a single project status, tracking progress against timelines, identifying delays and dependencies, and providing structured updates to management and customers.
The candidate will work as a central coordination point between Sales, Design, Application/Engineering, Purchase, Stores, Assembly, Tool Room, Electrical & Automation, and other project-related departments.
The ideal candidate should have excellent follow-up, coordination, documentation, communication, and reporting skills, along with a basic understanding of engineering and automation projects.
Key Responsibilities
1. Project Coordination & Planning
- Coordinate projects from order confirmation through design, procurement, manufacturing, assembly, testing, installation, commissioning, and final handover.
- Understand the overall project scope, customer requirements, key milestones, deliverables, and committed timelines.
- Prepare and maintain a detailed project master tracker covering all project activities and departments.
- Define and monitor department-wise activities, responsibilities, target dates, dependencies, and completion status.
- Ensure that project activities are progressing as per the agreed schedule.
2. Coordination with All Departments
Act as the central coordination point and collect regular project updates from:
- Sales / Business Development
- Design / Mechanical Design
- Application / Engineering
- Purchase / Procurement
- Stores
- Assembly
- Tool Room / Manufacturing
- Electrical & Automation
- Programming / Robotics, wherever applicable
- Quality
- Installation & Commissioning / Service
The coordinator will be responsible for obtaining the latest status from each department and consolidating the information into one accurate project status report.
3. Daily Project Tracking
- Follow up with respective departments on a daily basis for project progress.
- Track planned vs. actual completion of activities.
- Monitor pending activities, delays, dependencies, material requirements, approvals, and technical issues.
- Identify activities that may affect the overall project timeline.
- Escalate delays and critical issues to the concerned Project Manager / Management in a timely manner.
- Maintain a clear record of completed, ongoing, pending, delayed, and upcoming activities.
4. Project Status Consolidation
- Collect data from every department and consolidate it into a single project dashboard / tracker.
- Maintain accurate and updated project information at all times.
- Ensure that management receives a clear picture of the actual project status without having to collect information separately from each department.
- Track critical milestones such as:
- Design completion
- Drawing approvals
- BOM finalization
- Material procurement
- Material receipt
- Assembly progress
- Tool Room activities
- Electrical work
- PLC / Robotics / Automation activities
- Machine integration
- Internal testing
- FAT / customer inspection
- Dispatch
- Installation
- Commissioning
- Final handover
5. Management Reporting
- Prepare and submit daily project status updates to management.
- Prepare consolidated project reports showing:
- Overall project status
- Department-wise progress
- Planned vs. actual progress
- Pending activities
- Delayed activities
- Critical issues
- Material shortages
- Customer dependencies
- Internal dependencies
- Upcoming milestones
- Required management actions
- Highlight critical delays and risks immediately rather than waiting for the scheduled report.
- Maintain proper historical records of project progress and commitments.
6. Customer Communication & Updates
- Prepare structured and accurate daily / weekly project progress updates for customers based on the latest information received from internal departments.
- Coordinate with the Sales / Project Management team to ensure that customer commitments and project updates are aligned with the actual status.
- Share appropriate project information with customers regarding:
- Design progress
- Procurement status
- Manufacturing / assembly progress
- Automation progress
- Testing status
- Inspection schedules
- Dispatch plans
- Installation and commissioning schedules
- Ensure that customer communication is accurate, timely, professional, and based on verified project data.
- Maintain records of customer commitments, discussions, approvals, and pending actions.
7. Delay & Escalation Management
- Identify delays and bottlenecks at an early stage.
- Understand the reason for delays and coordinate with the concerned department for corrective action.
- Track dependencies between departmentsfor example, design completion procurement material receipt assembly electrical/automation testing.
- Escalate critical issues to management with clear information on:
- What is delayed
- Why it is delayed
- Impact on the project
- Responsible department
- Required action
- Revised expected completion date
- Follow up until the issue is closed.
8. Project Documentation
- Maintain complete and organized project records.
- Maintain project trackers, schedules, MOMs, action-point trackers, customer communication records, approvals, and status reports.
- Ensure all project information is updated systematically and can be retrieved whenever required.
- Maintain proper version control of project-related documents and reports.
Key Technical Understanding
The candidate should have a basic understanding of:

The role is primarily focused on project coordination, tracking, follow-up, consolidation, and reportingnot hands-on PLC programming or machine design.
Required Skills
- Excellent follow-up and coordination skills.
- Strong organizational and planning ability.
- Ability to collect information from multiple departments and consolidate it accurately.
- Strong MS Excel skills for maintaining project trackers and reports.
- Good knowledge of MS Word and PowerPoint.
- Experience with ERP / project management software will be an advantage.
- Ability to prepare professional project status reports and presentations.
- Strong attention to detail.
- Ability to identify discrepancies between planned and actual progress.
- Strong communication and interpersonal skills.
- Ability to work with multiple departments and stakeholders simultaneously.
- Ability to work under pressure and manage multiple projects.
Preferred Candidate Profile
- 3–8 years of experience in Project Coordination / Project Execution / Project Management Coordination.
- Experience in Factory Automation, Industrial Automation, Robotic Automation, Assembly Line Automation, Engineering Projects, Machine Building, or System Integration will be preferred.
- Candidates who have worked closely with Sales, Design, Purchase, Stores, Manufacturing, Assembly, Tool Room, Electrical/Automation, and Service teams will be preferred.
- Engineering background will be an advantage.
- Should be comfortable communicating with both internal teams and customers.
- Should have a solid sense of ownership and urgency toward project timelines.
