ROLE OVERVIEW

Role Purpose

The Logistics Manager will be responsible for independently managing the company's Import, Export and Domestic Logistics operations, with primary responsibility for import logistics and strong ownership of customs, trade compliance, shipment documentation, transportation and logistics cost management.

The role will ensure that imported materials, components, machinery, and equipment are delivered to the factory within required timelines, supported by accurate documentation and efficient customs clearance. The position will coordinate with international suppliers, freight forwarders, customs brokers/CHAs, shipping lines, airlines, ports, transporters, banks, government authorities, and internal stakeholders to ensure smooth and compliant movement of goods.

The role will also manage export logistics, export documentation, applicable government incentive schemes, domestic transportation, freight optimization, vendor performance, shipment tracking, regulatory compliance, and management reporting.

This position will contribute directly to production continuity, customer delivery commitments, logistics cost control, regulatory compliance, export realization, and overall supply chain efficiency by providing complete visibility and control over the organization's logistics movement.

ROLE REQUIREMENTS

Professional Experience

- 5–8 years of relevant experience in Import, Export, Customs and Domestic Logistics.
- Strong hands-on experience in managing the complete import shipment lifecycle.
- Experience coordinating with international suppliers, freight forwarders, shipping lines, airlines, CHAs/customs brokers, ports, transporters, banks, and government authorities.
- Practical exposure to customs clearance procedures, import/export documentation, duty assessment, shipment tracking, and regulatory compliance.
- Strong working knowledge of ICEGATE procedures, Bill of Entry, Shipping Bills, import/export clearance processes, and customs documentation.
- Hands-on experience in managing domestic transportation of machinery, components, heavy equipment, and industrial materials.
- Strong knowledge of E-Way Bill provisions, including generation, extension, cancellation, Part-B updates, vehicle/transporter changes, validity requirements, and resolution of exceptional/error cases.
- Exposure to AD Code registration, port registration, IEC-related coordination, and other applicable import/export registrations.
- Experience in export incentive schemes such as RoDTEP, Duty Drawback, Advance Authorization, EPCG, DFIA, and other applicable DGFT/Customs schemes will be preferred.
- Experience in export incentive calculation, application, documentation, tracking, reconciliation, and closure.
- Exposure to BRC/e-BRC, export realization, and Shipping Bill closure requirements.
- Exposure to freight negotiation, landed cost analysis, and logistics cost optimization.
- Experience working with ERP systems, Excel-based shipment trackers, and logistics MIS reporting.
- Prior experience in manufacturing, engineering, machinery, or industrial equipment organizations will be preferred.

TECHNICAL SKILLS

- End-to-end Import Logistics Management.
- Strong working knowledge of ICEGATE and Customs procedures.
- Knowledge of Bill of Entry, Shipping Bills, customs clearance, duty assessment, valuation, classification, and customs compliance.
- Knowledge of Commercial Invoice, Packing List, Bill of Lading, Airway Bill, Certificate of Origin, Delivery Challan, and other shipment-related documentation.
- Understanding of HS/HSN classification and customs duty processes.
- Knowledge of import/export regulations and applicable Customs, DGFT, FEMA, GST, and foreign trade requirements.
- Strong knowledge of E-Way Bill provisions, including generation, extension, cancellation, Part-B updates, vehicle/transporter changes, validity requirements, and error resolution.
- Knowledge of E-Invoice, LR/GR, Delivery Challan, transporter documentation, and dispatch documentation.
- Knowledge of AD Code registration, port registration, IEC-related coordination, and other applicable import/export registrations.

KEY RESULT AREAS

1. IMPORT LOGISTICS MANAGEMENT – PRIMARY RESPONSIBILITY

- Manage the complete import shipment process from supplier readiness through international transportation, customs clearance, and final delivery to the factory.
- Track international shipments and maintain complete visibility of ETD, ETA, transit status, customs clearance, and expected delivery.
- Coordinate effectively with overseas suppliers, freight forwarders, shipping lines, airlines, CHAs/customs brokers, ports, and transporters.
- Ensure imported materials, components, machinery, and equipment are delivered within timelines required to support production and operational commitments.
- Identify potential shipment delays and escalate risks proactively to relevant stakeholders.
- Coordinate with Procurement, Stores, Production, Finance, and other internal departments to ensure uninterrupted material availability.
- Ensure proper follow-up at every stage of the import shipment lifecycle until material reaches the factory.

2. IMPORT DOCUMENTATION & CUSTOMS REGULATORY COMPLIANCE

- Ensure import documents are complete, accurate, and available before shipment arrival.
- Manage and coordinate Bill of Entry filing, customs clearance, classification, valuation, duty assessment, and related customs procedures.
- Ensure proper coordination with CHAs/customs brokers for timely customs clearance.
- Maintain appropriate records and supporting documentation for all import transactions.
- Ensure compliance with applicable Customs, DGFT, FEMA, GST, and other import regulations.
- Coordinate with Finance regarding foreign remittances, customs duty payments, and import-related reconciliations.
- Ensure proper utilization and tracking of applicable import/export registrations and authorizations.
- Handle or coordinate AD Code registration, port registration, IEC-related requirements, and other applicable registrations.
- Monitor regulatory changes affecting the company's import/export activities and ensure necessary compliance.
- Use ICEGATE and other applicable customs platforms for shipment tracking, documentation, clearance-related activities, and status monitoring.
- Coordinate with Customs, ICEGATE, CHA/customs brokers, banks, and other authorities for resolution of pending or exceptional cases.

3. EXPORT LOGISTICS & TRADE COMPLIANCE

- Manage the movement of export shipments from the factory to international customers.
- Coordinate shipment bookings, freight forwarders, customs brokers/CHAs, shipping lines, airlines, ports, transporters, and customers.
- Ensure export documentation is completed accurately and within required timelines.
- Coordinate Shipping Bill filing, export clearance, shipment documentation, and Shipping Bill closure.
- Ensure compliance with applicable Customs, DGFT, ICEGATE, FEMA, GST, and export regulations.
- Track export shipments and coordinate resolution of transit, customs, documentation, or delivery issues.
- Ensure proper coordination between internal departments, freight forwarders, CHA/customs brokers, and customers.
- Support Finance with documentation required for export-related financial and realization processes.

4. EXPORT INCENTIVES & GOVERNMENT TRADE SCHEMES

- Identify and evaluate applicable Government export incentive schemes and trade benefits for the company.
- Manage applicable schemes including RoDTEP, Duty Drawback, Advance Authorization, EPCG, DFIA, and other relevant DGFT/Customs schemes.
- Handle the calculation, application, documentation, tracking, reconciliation, and closure of applicable export incentive claims.
- Ensure accurate documentation and timely submission of incentive claims.
- Monitor status of incentive claims and ensure timely follow-up for realization of eligible benefits.
- Coordinate with DGFT, Customs, ICEGATE, CHA/customs brokers, banks, and other authorities for incentive claims and resolution of pending cases.
- Monitor BRC/e-BRC, export realization, and Shipping Bill closure requirements and ensure compliance within prescribed timelines.
- Maintain appropriate records of export incentives claimed, received, pending, and reconciled.
- Coordinate with Finance for reconciliation of export realization, incentives, and related financial records.

5. DOMESTIC LOGISTICS & TRANSPORTATION MANAGEMENT

- Manage PAN-India movement of machinery, components, spares, and finished products.
- Coordinate suitable transportation based on shipment dimensions, weight, urgency, destination, and delivery requirements.
- Manage FTL, LTL, ODC, and heavy equipment transportation requirements.
- Plan specialized transportation for heavy machinery and oversized/ODC cargo wherever applicable.
- Track vehicles and ensure timely delivery to factories, project locations, dealers, or customers.
- Coordinate with transporters for vehicle placement, dispatch, transit tracking, and delivery.
- Resolve transportation delays, damages, breakdowns, and delivery-related issues.
- Ensure timely collection and closure of Proof of Delivery (POD) documentation.
- Ensure proper coordination and accuracy across Commercial Invoice, Delivery Challan, E-Way Bill, E-Invoice, LR/GR, transporter documents, and dispatch records.
- Ensure compliance with applicable E-Way Bill provisions, including generation, extension, cancellation,



Part-B updates, vehicle/transporter changes, validity requirements, and resolution of exceptional/error cases.
- Ensure dispatch documentation is complete and accurately aligned with the actual movement of goods.

6. FREIGHT & LOGISTICS COST OPTIMIZATION

- Obtain competitive freight quotations from logistics service providers.
- Compare freight options and negotiate commercial terms.
- Select appropriate transportation modes based on cost, urgency, shipment dimensions, and delivery requirements.
- Monitor landed logistics costs for imported materials.
- Prepare shipment-level logistics and landed cost analysis.
- Minimize avoidable costs related to demurrage, detention, storage, detention-free-period expiry, and shipment delays.
- Review logistics invoices and ensure appropriate validation before Finance processing.
- Monitor freight expenditure against planned logistics budgets.
- Identify opportunities for freight consolidation, route optimization, and overall logistics cost reduction.

7. VENDOR, CHA & SERVICE PROVIDER MANAGEMENT

- Manage relationships with CHAs/customs brokers, freight forwarders, shipping lines, airlines, transporters, and other logistics service providers.
- Maintain an effective and reliable logistics vendor network.
- Negotiate service terms, pricing, and performance expectations.
- Monitor vendor service levels, shipment performance, documentation accuracy, and response time.
- Conduct periodic performance reviews and address recurring operational or documentation issues.
- Evaluate vendor performance based on cost, service quality, turnaround time, compliance, and reliability.
- Develop strong working relationships with key logistics partners to ensure uninterrupted operations.

8. LOGISTICS MIS & MANAGEMENT VISIBILITY

- Maintain accurate and up-to-date import, export, and domestic shipment trackers.
- Prepare daily import shipment status reports.
- Provide export and domestic shipment updates to relevant stakeholders.
- Develop weekly and monthly logistics MIS for management.
- Report shipment delays, customs status, ETA changes, logistics costs, pending documentation, and required actions.
- Monitor freight expenditure against planned logistics budgets.
- Provide vendor and service provider performance analysis.
- Track pending customs, incentive, documentation, and shipment-related issues until closure.
- Ensure management has clear visibility of shipment status, logistics costs, compliance status, and potential operational risks.
- Develop and maintain dashboards/trackers for critical logistics KPIs wherever required.

PREFERRED PROFILE

- Graduate or Postgraduate qualification in Logistics, Supply Chain Management, International Business, Commerce, Engineering, or a related discipline.
- 5–8 years of relevant logistics experience with strong exposure to Import, Export and Customs operations.
- Import logistics experience should represent a significant portion of the candidate's overall experience.
- Strong working knowledge of ICEGATE, Customs clearance procedures, Bill of Entry, Shipping Bills, and international shipping documentation.
- Strong understanding of E-Way Bill, E-Invoice, GST documentation, and domestic transportation compliance.
- Experience coordinating with CHAs/customs brokers, freight forwarders, shipping lines, airlines, ports, transporters, banks, and government authorities.
- Practical knowledge of AD Code, IEC, port registration, and other applicable import/export registrations.
