Role & responsibilities
1. Job Purpose
• To serve as the single point of contact between an assigned group of branches and the company's manufacturing and supply chain
functions for all project orders.
• The role holder owns the delivery conversation for their branches from order booking through to dispatch running kick-offs on
new orders, agreeing and communicating delivery schedules, negotiating priority changes, and escalating and resolving issues that
cannot be settled through the system.
• The system is the source of order status.
• This role owns everything that cannot be read off a screen: agreement, negotiation, judgement, and the relationship with the
branch.
2. Scope
• Ownership of a fixed group of 4 to 5 branches, covering all project orders for those branches regardless of order size or value.
• Coverage of the full order lifecycle from order booking to dispatch.
• Interface with branch teams, factory planning teams, purchase, warehouse and logistics.
3. Key Responsibilities
Order Kick-off and Handover
• Conduct a structured kick-off on every new project order before it is released to the plant, jointly with the branch and sales team.
• Confirm at kick-off: specifications and drawings, phasing and delivery schedule, site readiness and access constraints, special
packing or pre-inspection requirements, and commercial and payment status.
• Identify custom, non-standard or complex items early and ensure they are flagged to design and the factory.
• Identify incomplete, incorrect or non-compliant orders at intake and get them corrected before release rather than after.
Delivery Schedule Ownership
• Agree a delivery schedule for each project with the factory planning team and communicate it to the branch.
• Monitor the schedule through the order lifecycle and identify slippage before the branch does.
• Communicate every date change proactively, with the reason and the revised commitment.
• Maintain visibility of orders held up on material, design, approvals or commercial clearance, and drive them to resolution.
Branch Relationship and Weekly Review
• Run a scheduled weekly review with each assigned branch covering the live order book, upcoming dispatches, orders at risk, and
open issues.
• Circulate a record of what was agreed and follow through on the actions arising.
• Serve as the branch's first and single point of contact for all supply and delivery matters, and direct routine status queries to the
system rather than answering them manually.
Priority and Change Management
• Receive priority change requests from branches, assess feasibility with the factory, and confirm or decline them with a explicit
reason.
• Ensure all agreed priority changes are formally recorded and communicated to all affected parties.
• Manage the delivery consequences of specification changes, phasing changes and order revisions raised after booking.
• Balance competing demands across assigned branches and escalate genuine conflicts for decision rather than resolving them
informally.
Issue Resolution and Escalation
• Resolve day-to-day supply and delivery issues directly with the factory, purchase, warehouse and logistics teams.
• Escalate constraints that cannot be resolved at working level, with supporting facts and a proposed way forward.
• Coordinate with the warehouse and logistics on dispatch readiness and loading requirements. Vehicle allocation and dispatch
execution remain with the warehouse.
• Track and close post-dispatch issues raised by branches relating to short supply, damage or site requirements.
Data and System Discipline
• Ensure order records, delivery dates and status in the ERP and order tracking system are accurate and current for all assigned
branches.
• Record date revisions with reasons so that delay causes are visible and attributable.
• Use the system as the source of truth and drive branches to self-serve routine status information from it.
4. Candidate Profile
Experience
• 5 to 9 years in customer service, order management, project coordination,
inside sales support or supply chain coordination within
a manufacturing organisation.
• Essential: experience in a make-to-order, project-based or custom manufacturing environment where orders are non-standard
and delivery is scheduled rather than off-the-shelf.
• Essential: experience acting as the interface between a manufacturing or supply function and a sales, branch or dealer network.
• Preferred: furniture, modular interiors, building products, aluminium and glazing, HVAC, elevators, commercial kitchens, or
comparable project-driven manufacturing.
• Preferred: exposure to institutional, corporate or government projects with phased delivery and site-linked schedules.
Qualifications
• Graduate in any discipline. An engineering diploma or degree, or a postgraduate qualification in Operations, Supply Chain or
Business Management, is an advantage.
• No specific certification is required.
Technical Skills
• Working knowledge of an ERP system covering sales orders, production orders, stock and dispatch. Experience with Microsoft
Dynamics NAV / Business Central is preferred; SAP, Oracle or equivalent is acceptable.
• Working knowledge of MS Excel, including lookups and pivot tables.
• Ability to read and interpret order documents, specifications and basic drawings.
Competencies
• Ownership treats the delivery outcome for assigned branches as their own responsibility rather than as information to be
passed along.
• Communication and influence able to run a review meeting with branch heads and senior sales staff, and to give unwelcome
news clearly and early.
• Negotiation and firmness able to decline an unfeasible request with a reason and to hold a position with both branch and
factory teams.
• Structure and discipline keeps a scheduled rhythm of reviews and follow-ups intact under a high volume of interruptions.
• Judgement distinguishes genuine urgency from noise and escalates appropriately.
• Attention to detail — accuracy in dates, quantities, specifications and records.Other Requirements
• Availability for periodic travel to manufacturing units and, occasionally, to branch locations.
• Comfortable working across time zones within India and during dispatch hours.
