Personal Secretary to Managing Director

Location: Christian Basti, Guwahati, Assam
Position: Personal Secretary to Managing Director

About the Role

We are looking for a smart, highly organised, proactive and trustworthy Personal Secretary to work closely with the Managing Director of a growing organisation.

This is a high-responsibility position requiring excellent communication skills, strong organisational ability, discretion and the ability to manage multiple priorities efficiently.

The ideal candidate should be someone who can anticipate requirements, follow up independently, maintain confidentiality and ensure that the Managing Director's day-to-day professional activities run smoothly.

This role will involve both professional and personal coordination, and therefore requires a mature, dependable and flexible individual.

Key Responsibilities

- Manage the Managing Director's daily schedule, appointments, meetings and commitments.
- Coordinate and follow up with clients, business associates, employees, vendors and other stakeholders.
- Handle calls, messages, emails and correspondence professionally.
- Prepare meeting schedules, reminders, notes and follow-up lists.
- Maintain and organise significant documents, contacts and information.
- Track pending tasks and ensure timely follow-ups with concerned people.
- Assist in preparing presentations, reports, documents and other business-related material.
- Coordinate travel arrangements, meetings and other professional requirements when required.
- Accompany the Managing Director to meetings or events when required.




- Handle confidential business and personal information with complete discretion.
- Assist with selected personal coordination and day-to-day requirements of the Managing Director.
- Act as an effective communication link between the Managing Director and various people within and outside the organisation.
- Proactively identify pending requirements and ensure they are completed without constant supervision.

Candidate Profile

The ideal candidate should possess:

- Excellent spoken and written English.
- Strong communication and interpersonal skills.
- Excellent organisational and time-management abilities.
- Good working knowledge of MS Office / Google Workspace.
- Ability to draft professional emails, letters and documents.
- Ability to maintain calendars, schedules, records and follow-up trackers.
- Strong attention to detail.
- Ability to multitask and work under pressure.
- A proactive “get things done” attitude.
- Professional appearance, manners and communication.
- High level of integrity, discretion and confidentiality.
- Ability to work independently and take ownership of responsibilities.

Experience

Candidates with 2–5 years of experience as a Personal Secretary, Executive Assistant, Executive Secretary,



Management Assistant or similar role will be preferred.

Experience working directly with a Managing Director, Founder, CEO, Business Owner or Senior Executive will be an added advantage.

Working Hours

Full-Time

Working hours and weekly schedule will be discussed during the interview.

The candidate should be reasonably flexible regarding working hours when business requirements demand it.

Compensation

Salary: Competitive and negotiable, based on experience, skills and suitability for the role.

This is a high-trust, long-term position working closely with the Managing Director. Candidates who are looking only for a routine 9-to-5 administrative role may not be suitable.

We are looking for an individual who wants to take ownership, responsibility and grow with the organisation.

Pay: ₹15,000.00 - ₹20,000.00 per month
