Job Purpose To manage the day-to-day store and inventory activities at the assigned location and ensure accurate and timely maintenance of both physical and online inventory records.

The company is currently upgrading its inventory management process through an online system with the support of an external consultant. The consultant will be responsible for the development, implementation and testing of the system. Following implementation, the Store & Inventory Operator will take over the day-to-day operation of the system and ensure its effective use and maintenance at the location.

Key Responsibilities

1. Material Receiving

- Receive and check incoming materials such as steel plates, pipes, marine equipment, tools, consumables and other materials.
- Verify quantity, specifications and condition against purchase orders, delivery challans and other relevant documents.
- Record all material receipts accurately in the online system.

2. Inventory & Store Records

- Maintain accurate physical and online records of all inventory.
- Ensure all receipts, issues, transfers, returns and other material movements are recorded in the system on time.
- Maintain proper item identification, location and stock records.

3. Material Issuing

- Issue materials, tools and equipment only against duly authorized requisitions/indents.
- Ensure all issues are properly documented and recorded in the online system.

4. Stock Verification & Reconciliation

- Conduct regular physical stock verification.
- Reconcile physical stock with online inventory records.
- Identify and report shortages, excesses, damages and other discrepancies.
- Coordinate with the concerned departments for investigation and correction of discrepancies.

5. Material Storage & Organization

- Ensure materials are properly identified, labelled and stored at designated locations.
- Maintain proper organization and housekeeping of the store.
- Ensure materials are easily identifiable and retrievable.

Material Movement

- Maintain records of material movement between stores, yard, workshops, projects and other locations, wherever applicable.
- Ensure inter-location transfers are properly recorded in the system.

7. Safety

- Ensure proper handling and storage of heavy, hazardous and flammable materials such as paints, chemicals, welding gases and other controlled materials.
- Follow applicable safety and environmental requirements.

8. Inventory Reporting

- Prepare regular stock and inventory reports as required.
- Provide accurate and timely inventory information to Stores, Operations, Projects, Production, Purchase and Management.

9. Online Inventory System – Post Implementation

- Take ownership of the day-to-day operation of the online inventory system at the assigned location after implementation.
- Ensure all inventory transactions are entered accurately and on time.
- Maintain the accuracy and completeness of inventory data.
- Identify system/process issues encountered during regular use and coordinate with the concerned person/team for resolution.
- Support necessary corrections and updates to inventory records.
- Ensure that the established inventory procedures are consistently followed.

10. System Handover & Process Continuity

- Understand the inventory system, processes and procedures during the implementation and testing phase.
- Work closely with the consultant during the handover and gain a complete understanding of the system relevant to the location.
- Maintain the process and records after the consultant's engagement is completed.
- Assist existing and new users at the location in following the established inventory process.




- Provide feedback and suggest practical improvements based on day-to-day operations.

11. Coordination

- Coordinate with Production, Projects, Purchase, Accounts and other departments for inventory-related requirements.
- Coordinate with other locations for material transfers and inventory-related matters, wherever required.

Qualification

- Graduate in Commerce, Business Administration, Supply Chain, Logistics or a related field. OR
- Diploma/Certificate in Stores, Inventory or Supply Chain Management will be an advantage. OR
- ITI/Diploma in Ship Building/Marine
- Good working knowledge of MS Office, particularly MS Excel.
- Comfortable working with ERP, inventory management or other online systems.

Experience

- 1–3 years of relevant experience in stores/inventory operations.
- Experience in shipbuilding, ship repair, fabrication, heavy engineering, manufacturing or a similar industry will be preferred.
- Experience in using ERP or online inventory systems will be an advantage.

Knowledge & Skills

- Basic knowledge of steel plates, pipes, marine equipment, tools, welding consumables, hardware and safety equipment.
- Understanding of material receiving, issuing, storage and stock verification.
- Good stock reconciliation and record-keeping skills.
- Good computer and data-entry skills.
- Accuracy and attention to detail.
- Good coordination and communication skills.
- Ability to work in a store/yard setting and undertake physical stock verification and material handling activities as required.
- Willingness and ability to learn and take ownership of the online inventory system.

Key Accountability The Store & Inventory Operator will be responsible for ensuring that physical inventory and online inventory records at the assigned location remain accurate, complete and up to date, and that all material movements are properly documented and recorded. The position will also be responsible for taking over and continuing the inventory system after completion of the consultant's development, implementation, testing and handover activities.
