THE FINANCE & ACCOUNTS TEAM
Vantrock keeps its books in-house. The finance function owns every number from the site to the board.
Five parts under the Chief Financial Officer: Finance & Accounts (the books); FP&A; and Asset Management (the forecast and the flag); Corporate Finance and Investor Relations (debt, treasury, lenders); Legal and Compliance; IT.
Twenty-one seats when fully built; sixteen live now, one of them already filled. Small enough that every person in it is known by name to the founder; large enough to run a platform properly. Every seat in the team is a builder's seat: the function does not exist yet in the form described here, and the people who join it now are the ones who will decide what it becomes.
THE RUNNING BILL
At a real estate developer the largest bills are contractors' running bills — work done in the month against a bill of quantities agreed at award, certified on site, less retention, less advances recovered, plus approved variations. Processing one correctly means knowing what each of those words means and where to look when the numbers do not agree. Vantrock keeps its payables in-house precisely so that the person processing the bill knows the project it belongs to.
The Payables — Senior is the senior maker in a ladder of three. You capture and process the platform's bills — the running bills first among them — prepare the payment run, and hand it to the Payables Head to check. You also carry the vendor ledgers and the statutory deductions, and you are the person the Payables — Executive learns from.
WHY THIS ROLE EXISTS The platform is building its accounts ladder from the ground as ground breaks on its first projects in January. The Payables Head needs a senior hand who can process a running bill correctly on day one, run the vendor ledgers without supervision, and take the first pass at everything before it reaches the checker. That is this seat.
WHAT YOU WILL OWN
- Bill capture and processing.
Every bill — contractor, consultant, vendor, utility, statutory — captured in the system on the day it arrives, matched to its order or contract, coded to the right entity and project, and queued for the run.
- Running bills, first pass. Each contractor's running bill reconciled against the certified quantity and the bill of quantities: retention computed, advances recovered, variations checked for approval. Anything that does not reconcile flagged to the Payables Head with a note, the same day.
- The payment run. Prepared on schedule, complete, with every supporting document attached and every deduction computed — ready for the checker without rework.
- Vendor and contractor ledgers. Reconciled monthly; balance confirmations chased; no unexplained line left older than thirty days.
- TDS and GST on payments. Deducted at the right section and rate; input matched to the vendor's filing; exceptions listed for the general ledger team before month-end.
- The Executive. Train the Payables — Executive on running bills and the system; review their work before it goes to the Head.
WHO WE ARE LOOKING FOR
ESSENTIAL
– 4–6 years in accounts payable, of which most at a real estate developer or a construction contractor. You have processed running bills, not just invoices.
– Retention, mobilisation advances, certified quantities and bills of quantities — understood and handled, not merely heard of. This will be tested in a practical.
– TDS sections and rates on payments, and GST input matching, in daily use.
– Fluent in an ERP or accounting system and in spreadsheets; comfortable moving onto a new system.
– Accurate under volume. You have run a payment cycle of a hundred-plus bills a month without rework coming back.
– A Bachelor's degree in commerce.
– Based in the Mumbai Metropolitan Region.
ADVANTAGEOUS
– Payables across several project entities at once.
– Having worked a lender's end-use certificate or monitoring request from the payables ledger.
– Filing experience — GST returns or TDS returns — alongside payables.
WHAT THIS ROLE IS NOT
– Not an invoice-processing seat at a trading or services company transplanted into a developer. The running bill is the job.
– Not a checker's seat. You make; the Payables Head checks. The chain is the point.
– Not a general accounts seat. The ledger and the close are the general ledger team's; the forecast is the Financial Controller's.
HOW YOU WILL WORK
– One system of record. Nothing is paid that is not in the system; nothing enters the system unmatched.
– Judgment is written down. A flagged bill carries a note; a processed one carries your initials.
– Mumbai Metropolitan Region, full time, in person.
COMPENSATION
Vantrock benchmarks compensation against the upper quartile for the role and market, weighted toward equity for candidates who want to build with us long-term.
We discuss specific numbers in the first conversation rather than anchoring either side prematurely.
Wealth creation is part of the engine, not only the salary: a performance-linked annual bonus, and a path to ESOP-linked incentives as the seat grows — priced to the seat and confirmed in the offer.
CULTURAL FIT
We're building Vantrock over a decade, not a funding cycle. We're looking for people who treat technology as the default answer rather than a supplement, who want to be co-builders of the platform rather than employees executing instructions, and who are comfortable saying "I don't know" and "I was wrong." If you want a defined role with defined edges, this isn't the right seat. If you want to help build an institution from zero, it might be.
AI proficiency is a standing requirement in every Vantrock seat. You work fluently with AI tools for research, modelling, drafting and analysis, and you build on the platform's dashboards rather than around them. A supervised AI Proficiency Test is part of the process for every seat, at every level of seniority, and we say so openly.
Partner command is the second standing requirement. The books are ours, but auditors, banks, the fund administrator, valuers, law firms and system vendors are commanded by this team — briefed, held to a standard, integrated — never deferred to. We hire for judgment and accountability.
HOW WE WILL ASSESS
Everyone who applies hears from us within two working days. It carries two links: a fixed set of six questions answered by AI interview — about forty minutes, and the first work sample; we review it before the CV — and the Vantrock AI Proficiency Test, which every hire takes at every level. From there:
- The Payables conversation. Where you processed running bills, how many, on what system, and the one that taught you most. With the Payables Head.
- A 90-minute supervised practical. Ten contractor running bills against a bill of quantities and a certification sheet, with planted errors — process them, flag what you would hold, compute the deductions. Reviewed with the Payables Head.
- Reference. One former reporting manager, contacted directly.
