About Kingston Educational Institute
Kingston Educational Institute (KEI) is a multidisciplinary education society operating a 28-acre campus in Barasat, Kolkata, spanning engineering, management, law, paramedical and allied health science institutions — alongside Kingston General Hospital. Together these units run a continuous, diverse hiring pipeline: teaching and non-teaching staff for the institute, and clinical and non-clinical staff for the hospital.
About the Role
We are looking for an energetic, detail-oriented Junior HR Recruiter to manage end-to-end recruitment for open positions across both KEI's academic institutions and Kingston General Hospital. The role covers sourcing, screening, interview coordination, offer follow-up, and joining formalities — working closely with department heads/HODs on the institute side and clinical/administrative heads on the hospital side to close vacancies quickly and with the right fit.
This is an excellent opportunity for someone early in their HR career to gain hands-on, high-volume recruitment exposure across a genuinely diverse hiring landscape — faculty, administrative staff, doctors, nurses, paramedical and hospital support roles — within a single organization.
Key Responsibilities
1. Requisition & Vacancy Tracking
- Collect and maintain updated manpower requisitions from institute departments (Academics, Admin Services, Accounts & Finance, Purchase, Sales & Marketing) and hospital departments (Clinical, Nursing, Para-medical, Hospital Administration).
- Maintain a live open-positions tracker with role, department, priority, and ageing of each vacancy.
- Flag long-pending or critical vacancies (e.g., faculty approvals, clinical roles) for priority action.
2. Sourcing & Pipeline Building
- Source candidates through job portals (Naukri, Indeed, LinkedIn), social media, employee referrals, consultancies, and campus placement drives.
- Post and refresh job openings across relevant portals and platforms for both institute and hospital roles.
- Build and maintain a talent pipeline for recurring/high-volume roles (faculty, nursing,
para-medical, admin support).
3. Screening & Interview Coordination
- Screen resumes against role requirements and conduct initial telephonic/HR-round screening.
- Schedule technical/departmental interview rounds with respective HODs (institute) or clinical/department heads (hospital).
- Coordinate interview logistics — candidate communication, panel availability, feedback collection.
4. Offer & Joining Coordination
- Coordinate offer approval with the HR Manager and respective department head.
- Follow up with selected candidates through offer acceptance and notice-period closure to ensure timely joining.
- Coordinate joining formalities — documentation, verification, and handover to the HR Operations team for onboarding.
5. Documentation & Compliance
- Verify candidate documents — educational certificates, experience letters, and identity proof.
- Conduct or coordinate reference/background checks as required, particularly for clinical and academic roles.
- Maintain recruitment files and MIS in line with institute and statutory record-keeping requirements.
6. Reporting
- Maintain a weekly recruitment status report — positions open, in-pipeline, offered, and closed — across institute and hospital.
- Track source-wise effectiveness (portal vs. referral vs. consultancy vs. campus) and interview-to-offer conversion.
- Share regular updates with the HR Manager and escalate ageing or hard-to-fill vacancies.
Key Deliverables / KPIs
- Reduced average time-to-fill across institute and hospital vacancies.
- 100% weekly update of the open-positions tracker.
- Healthy offer-to-joining ratio and low early-attrition/no-show rate.
- Consistent pipeline coverage for recurring/high-volume roles.
- Complete and accurate candidate documentation for every hire.
- Timely, accurate weekly recruitment MIS to the HR Manager.
Required Qualification
- Bachelor's or Master's degree in Human Resources, Business Administration, or a related discipline.
- MBA/PGDM in HR will be an added advantage.
Required Experience
- 0–2 years of experience in recruitment/talent acquisition.
- Prior exposure to hiring for an educational institution or healthcare/hospital setup is preferred but not mandatory.
- Freshers with strong communication, energy, and organizational skills are encouraged to apply.
Required Skills
- Working knowledge of sourcing through Naukri, LinkedIn, Indeed, and social media.
- Good telephonic and in-person screening/interviewing skills.
- Proficiency in MS Excel/Google Sheets for maintaining trackers and reports.
- Strong verbal and written communication skills.
- Ability to coordinate simultaneously with multiple department heads across very different functions — academic, administrative, and clinical.
- Comfortable managing volume and variety — from faculty and admin roles to nursing and para-medical positions.
- Attention to detail in documentation and compliance.
Preferred Knowledge Familiarity with an ATS/HRMS or recruitment tracking tool (e.g., greytHR, Naukri RMS, Zoho Recruit) is an advantage. Prior exposure to campus placement coordination or healthcare-sector hiring norms will also be valued, though not mandatory — training will be provided.

They follow up persistently without dropping the ball, keep their tracker current, document everything cleanly, and know when to escalate a stalled vacancy to the HR Manager.
