About the Role The HR Trainee will support the Global Process Excellence team on the Visa & Right-to-Work Data Project. The role focuses on the reconciliation, validation, and maintenance of employee data across Workday, ServiceNow, and other supporting systems.

This position requires reviewing and validating employee records, identifying discrepancies, updating HR systems accurately, maintaining audit-ready documentation, and coordinating with employees and internal stakeholders to resolve data gaps. Working within defined procedures and guidelines, the successful candidate will build strong foundations in HR systems, HR compliance, data governance, and process improvement while contributing to a high-visibility global initiative.

Key Responsibilities

Employee Data Reconciliation & Validation

- Review employee records in Workday and cross-reference information with ServiceNow and other approved data sources.
- Validate personal information, nationality details, visa records, passport information, immigration documentation, and Right-to-Work data.
- Identify discrepancies, missing information, or data inconsistencies and take appropriate action to resolve them.
- Ensure all updates made in HR systems are accurate, complete, and compliant with established standards.
- Maintain auditable trackers and appropriate documentation to support project governance requirements.

Data Quality & Compliance

- Handle confidential and sensitive employee information with a high degree of professionalism and integrity.
- Follow standard operating procedures, checklists, and established process controls.
- Ensure data quality, consistency,



and compliance with internal policies and regulatory requirements.
- Escalate complex exceptions, recurring issues, or unresolved discrepancies to appropriate stakeholders.
- Avoid assumptions when reviewing records and ensure all decisions are supported by documented evidence.

Stakeholder Coordination

- Collaborate with internal HR teams and other business stakeholders to obtain missing data and documentation.
- Proactively follow up on outstanding actions to ensure project timelines and deadlines are met.
- Support issue resolution by coordinating across multiple teams and maintaining clear communication.

Reporting & Process Improvement

- Provide regular status updates on completed records, open items, risks, and project blockers.
- Support process improvement initiatives by identifying opportunities to improve accuracy, efficiency, and user experience.
- Participate in testing activities, process documentation updates, and data validation exercises.
- Assist with automation initiatives and contribute ideas to improve operational effectiveness.
- Support additional HR operational and project-related activities as required.

Qualifications & Experience

Required Qualifications

- MBA / PGDM in Human Resources, HR Analytics, Finance, Business Administration, or a related discipline.
- Strong planning, organizational, and prioritization skills.
- Excellent attention to detail and commitment to accuracy.
- Strong analytical and problem-solving capabilities.
- Ability to manage multiple activities and deadlines effectively.
- Good written communication and documentation skills.
- Comfortable working with technology, digital platforms, and new systems.
- Ability to work independently while adhering to defined processes and controls.
- Foundational understanding of the employee lifecycle, including:
- Hiring

- Promotions

- Transfers

- Leave of Absence

- Terminations

- Employee Data Management

Preferred Qualifications

- Exposure to HR Operations, Perks, Total Rewards, or Shared Services environments.
- Familiarity with Workday and/or ServiceNow (SNOW).
- Experience using AI-enabled productivity tools for analysis, documentation,



or process improvement.
- Working knowledge of Microsoft Excel, PowerPoint, and other web-based applications.
- Interest in HR systems, data governance, automation, and continuous improvement.
