About the RoleWe are looking for a Front Desk & Travel Desk Executive who will be responsible for managing the day-to-day front desk and reception operations of our Noida office, while also independently handling corporate travel and transportation requirements for employees, management, and business guests.
The ideal candidate should be qualified, well-organised, presentable, responsive, and comfortable coordinating with multiple stakeholders. This role requires someone who can manage the front office with a high level of hospitality while simultaneously handling flight, hotel, cab, and other travel arrangements efficiently.
The position will act as an important coordination point between employees, management, visitors, hotels, airlines, travel partners, cab vendors, and other external service providers.
Key Responsibilities1.
Front
Desk &
• Reception Management
- Manage the company's reception/front desk and ensure a professional and welcoming experience for all visitors and guests.
- Receive, greet, and assist visitors, clients, vendors, business partners, and other guests.
- Manage visitor check-in and check-out, maintain visitor records, and coordinate with relevant employees for visitor appointments.
- Handle incoming calls, direct calls to the appropriate departments/persons, and take messages whenever required.
- Receive and manage incoming couriers, parcels, documents, and other deliveries.
- Coordinate outgoing courier and dispatch requirements.
- Maintain records of visitors, meetings, couriers, and other front-office activities.
- Schedule and coordinate meetings and appointments for management and employees.
- Ensure meeting rooms are appropriately arranged and ready before scheduled meetings.
- Coordinate refreshments, visitor requirements, and other basic arrangements for important meetings and guests.
- Maintain a professional, clean, organised, and well-managed reception area at all times.
- Assist employees and management with general front-office administrative requirements.
2.
Corporate Travel Desk
Management
- Independently manage day-to-day corporate travel requirements for employees, management, and business visitors.
- Coordinate and arrange domestic and international flight bookings, wherever applicable.
- Compare available flight options based on schedule, fare, convenience, and company requirements before making bookings.
- Handle flight cancellations, rescheduling, amendments, refunds, and other travel-related changes.
- Arrange hotel bookings for employees, management, and guests travelling for business purposes.
- Identify and recommend suitable hotels based on location, budget, business requirements, availability, and convenience.
- Coordinate hotel check-in/check-out requirements and special requests for employees and guests.
- Maintain and manage records of flight bookings, hotel bookings, travel itineraries, and related expenses.
- Prepare and share complete travel itineraries with employees/management, including flight, hotel, cab, and other relevant details.
- Provide practical travel recommendations based on destination, business requirements, travel schedule, and budget.
- Coordinate travel arrangements for visiting clients, management teams, and other business guests.
3.
Travel
Vendor &
• Partner Management
- Develop and maintain relationships with airlines, hotels, travel agencies, online travel platforms, cab providers, and other travel partners.
- Identify and onboard suitable hotel and travel partners to obtain competitive corporate rates and better service terms.
- Negotiate preferential/corporate rates with hotels and travel service providers wherever possible.
- Maintain a database of preferred hotels, travel partners, cab operators, and other vendors.
- Regularly evaluate vendor performance, pricing, service quality, responsiveness, and reliability.
- Coordinate with vendors to resolve booking issues, billing discrepancies, cancellations, refunds, and service-related concerns.
- Explore new travel partners and service providers to improve cost efficiency and employee convenience.
4. Cab, Taxi & • Local Transportation Management
- Manage employee and management requirements for airport transfers, local transportation, inter-city travel, and other cab/taxi requirements.
- Coordinate with cab aggregators and local transportation vendors for timely vehicle arrangements.
- Book and schedule cabs based on flight timings, meetings, office requirements, and travel itineraries.
- Ensure timely pickup and drop-off arrangements for employees, management, and guests.
- Coordinate with drivers and transportation vendors regarding pickup locations, timings, vehicle details, and special requirements.
- Handle last-minute changes, cancellations, delays, and other transportation-related issues.
- Maintain records of transportation bookings and related expenses.
5. Management & • Employee Travel Support
- Act as the primary point of contact for employees and management for travel-related requirements.
- Coordinate end-to-end travel arrangements, from ticket booking to hotel, airport transfer, local transportation, and itinerary sharing.
- Handle urgent and last-minute travel requirements with a solution-oriented approach.
- Ensure travel arrangements are completed accurately and within the required timelines.
- Maintain confidentiality while handling management travel schedules and related information.
- Provide timely updates to travellers regarding changes in flight schedules, hotel bookings, cab details, or other travel arrangements.
6. Administration & • Record Management
- Maintain accurate records of visitors, appointments, travel bookings, hotel bookings, cab bookings, vendors, and related documentation.
- Maintain travel and vendor databases for easy reference and future bookings.
- Coordinate with the Accounts/Finance team regarding travel invoices, bills, advances, refunds,
and payment-related documentation.
- Verify travel and hotel invoices against bookings and agreed rates before forwarding them for processing.
- Maintain proper documentation of corporate travel expenses and vendor bills.
- Prepare periodic reports related to travel bookings, expenses, vendors, and other front-office activities, as required.
Candidate ProfileWe are looking for someone who is:
- Professional, presentable, courteous, and confident while interacting with visitors, employees, management, and external vendors.
- Highly organised and capable of handling multiple requirements simultaneously.
- Proactive and responsive, particularly when dealing with urgent or last-minute travel requirements.
- Detail-oriented, with strong attention to booking details, dates, timings, passenger information, and costs.
- Comfortable communicating with hotels, airlines, travel agencies, cab vendors, and other service providers.
- Capable of independently managing day-to-day front desk and travel desk operations.
- Good at coordination, follow-ups, negotiation, and vendor management.
- Comfortable using computers and standard office applications.
- Able to maintain professionalism and composure while handling unexpected situations or changes in travel plans.
Qualification & Experience
- Graduation in any discipline from a recognised institution.
- Minimum 2+ years of relevant work experience is required.
- Candidates with prior experience in front desk, reception, travel desk, corporate travel, administration, hospitality, or office administration will be preferred.
- Prior experience handling flight bookings, hotel bookings, cab arrangements, travel vendors, and corporate travel coordination will be an advantage.
- Experience working in a corporate office environment will be preferred.
