CCTV OPERATOR – JOB ROLE & RESPONSIBILITIES

Position Purpose The CCTV Operator shall be responsible for the continuous monitoring, operation, review, maintenance, documentation, and secure management of the organization’s CCTV surveillance system. The Operator shall assist management and authorized security personnel in preventing, detecting, documenting, and responding to security incidents while maintaining strict confidentiality and compliance with applicable laws and organizational policies.

Key Duties & Responsibilities

- Continuous CCTV Monitoring

Monitor all assigned CCTV cameras and surveillance screens continuously during duty hours and promptly identify suspicious, unusual, unsafe, or unauthorized activities.
- Camera & Area Coverage

Ensure that critical areas, including entrances, exits, parking areas, reception, corridors, common areas, restricted areas, stores, cash-handling areas, and other designated locations, remain under appropriate surveillance.
- Review of CCTV Footage

Search, review, and analyze live and recorded footage whenever required for security incidents, complaints, investigations, accidents, theft, disputes, missing property, unauthorized access, or other legitimate purposes.
- Incident Identification & Immediate Reporting

Immediately report suspicious activity, theft, unauthorized entry, violence, accident, fire, damage, safety hazards, tampering, or any other unusual occurrence to the concerned supervisor/manager/security personnel.
- Emergency Response Coordination

During emergencies, immediately alert the appropriate security, management, fire-safety, medical, or other authorized personnel and provide relevant CCTV information to assist in the response.
- Incident Documentation

Record the date, time, location, nature of the incident, camera number, persons involved/observed, action taken, and person to whom the matter was reported.
- Preparation of Reports

Prepare accurate daily surveillance reports, incident reports, observation reports, footage review reports, equipment fault reports, and other CCTV-related documentation as required.
- CCTV Footage Management

Ensure that recordings are properly stored, protected, retained, backed up where applicable, and preserved in accordance with organizational policies and applicable law.
- Evidence Preservation

When footage may be relevant to an investigation, complaint, dispute, accident, or legal proceeding, ensure that the relevant footage is promptly preserved and is not deleted, overwritten, altered, edited, or otherwise tampered with.
- Authorized Export of Footage

Export, copy, download, or provide CCTV footage only upon proper authorization. Maintain a record of the date, time, camera, footage period, reason for export, recipient, and authorization.
- Chain of Custody / Evidence Log

Maintain an appropriate CCTV evidence/footage register for material supplied for investigation, management review, insurance purposes, police authorities, courts, or other authorized purposes.
- Confidentiality

Maintain strict confidentiality regarding CCTV footage, surveillance information, passwords, system credentials, incidents, employees, guests, visitors, and other sensitive information.
- Prohibition on Unauthorized Disclosure

CCTV footage, screenshots, photographs, recordings,



or surveillance information shall not be shared through WhatsApp, social media, personal email, personal devices, or with unauthorized persons.
- No Personal Use of CCTV

CCTV systems and footage shall never be used for personal, entertainment, harassment, voyeuristic, discriminatory, retaliatory, or any other unauthorized purpose.
- Access Control

Maintain strict control over CCTV room access. Only authorized personnel shall be permitted to enter the CCTV/control room or access surveillance systems.
- Visitor/Technician Access

Any technician, vendor, contractor, police officer, investigator, or other third party requiring access to the CCTV system shall be permitted access only after appropriate authorization and, where required, recorded in the access register.
- Password & Credential Security

Protect all CCTV usernames, passwords, PINs, administrator credentials, and system access information. Credentials shall not be disclosed or shared without authorization.
- System Checking

Regularly check cameras, monitors, DVR/NVR systems, storage devices, network connectivity, power supply, UPS, recording status, date/time settings, and other surveillance equipment.
- Camera Fault Reporting

Immediately report any camera failure, blind spot, poor image quality, recording failure, storage problem, connectivity issue, power interruption, tampering, or technical malfunction.
- Daily Equipment Verification

Conduct and document routine checks to ensure that all designated cameras are operational and recording properly.
- Tampering & Sabotage Detection

Immediately report any attempt to disconnect, obstruct, reposition, damage, disable, manipulate, or otherwise interfere with CCTV equipment.
- Time & Date Accuracy

Regularly verify that CCTV system date and time settings are accurate, as incorrect timestamps may affect incident investigation and evidentiary value.
- Log & Register Maintenance

Maintain CCTV monitoring logs, incident registers, footage review records, equipment fault logs, export registers, access registers, and handover records accurately and on time.
- Shift Handover

Provide a proper written and verbal handover to the incoming CCTV Operator, including pending incidents, equipment faults, requested footage, security alerts, and other important matters.
- Monitoring of Restricted Areas

Pay particular attention to restricted, sensitive, high-risk, or unauthorized-access areas identified by management.
- Coordination with Security Team

Coordinate with security guards, supervisors, management, reception, maintenance, fire-safety personnel, and other authorized departments whenever CCTV information is required.
- Lost & Found / Property Incidents

Assist in reviewing footage relating to lost property, theft, missing items, damage to property, guest complaints, or other authorized investigations.
- Employee & Visitor Incidents

Monitor and review incidents involving employees, guests, visitors, vendors,



contractors, or other persons strictly for legitimate security, safety, investigation, or organizational purposes.
- Privacy & Data Protection

Handle surveillance information responsibly and comply with applicable privacy, data protection, confidentiality, security, and surveillance-related laws and organizational policies.
- Cooperation with Authorized Authorities

Provide assistance and relevant footage to police, courts, government authorities, insurers, investigators, or other authorized bodies only after following the organization’s authorization procedure.
- Audit & Compliance Support

Cooperate with internal audits, security inspections, compliance reviews, investigations, and management checks concerning the CCTV system.
- Incident Escalation

Matters involving responsible security threats, criminal activity, violence, fire, life-threatening emergencies, major property damage, or suspected unauthorized access shall be escalated immediately without waiting for the end of the shift.
- Professional Conduct

Perform all duties honestly, impartially, responsibly, professionally, and without misuse of surveillance information or system access.
- Attendance & Duty Discipline

Remain present and attentive throughout assigned CCTV duty hours and shall not abandon the CCTV monitoring station without proper authorization or arranging an approved handover.
- Mobile Phone & Distraction Policy

Personal mobile phone use, entertainment, sleeping, gaming, unauthorized visitors, or other activities that interfere with CCTV monitoring duties shall not be permitted during active surveillance duty.
- Reporting of Misconduct

Immediately report suspected misuse of CCTV access, unauthorized footage copying, credential sharing, tampering, attempted deletion, unauthorized disclosure, or other violations to the appropriate authority.
- Compliance with Management Instructions

Follow all lawful and reasonable instructions, SOPs, security protocols, emergency procedures, and confidentiality requirements issued by authorized management.
- Protection of Organizational Interests

Maintain vigilance and perform surveillance duties in a manner that protects the safety, security, property, reputation, employees, guests, visitors, and other legitimate interests of the organization.
- Training & Skill Development

Participate in CCTV, security, emergency-response, privacy, data-handling, fire-safety, and other relevant training programs as directed by management.
- Other Assigned Duties

Perform other CCTV, surveillance, security-monitoring, documentation, or related duties reasonably assigned by the authorized supervisor/management, provided such duties are lawful and within the employee’s role.

Important Accountability Clause

- The CCTV Operator shall be individually responsible for maintaining the confidentiality, integrity, and security of CCTV systems and surveillance information entrusted to them. Any unauthorized access, disclosure, copying, photographing, recording, alteration, deletion, misuse, manipulation, or sharing of CCTV footage or system credentials shall be treated as a serious breach of duty and may result in disciplinary action and/or other action as permissible under applicable law and organizational policy.
