Role & responsibilities
IT PMO & Vendor Management supports the Information Technology function in IT budgeting, project and program coordination, IT procurement, vendor and supplier management, service delivery support, and documentation.
The role is responsible for coordinating cross-functional IT activities, monitoring budgets and projects, supporting procurement and supplier contract processes, and ensuring effective communication and documentation across IT stakeholders and external partners.
Preferred candidate profile
1. IT Governance and Budget Management
- Assist in developing the annual IT budget and collect IT requirements from plant IT and central IT functions.
- Develop, maintain, and optimize IT OPEX budget models.
- Monitor budget performance against approved plans and provide periodic reports and updates.
- Support IT governance activities and ensure adherence to defined processes and controls.
- Coordinate with relevant IT stakeholders to track requirements, approvals, and financial commitments.
2. Programs and Projects
- Support identification and evaluation of new IT solutions through feasibility studies and Proof of Concept (PoC) initiatives.
- Coordinate stakeholder reviews and support obtaining required approvals for IT initiatives.
- Schedule and facilitate project meetings and ensure required conferencing and connectivity arrangements are available.
- Coordinate project activities, timelines, deliverables, and communication among stakeholders.
- Track project-related actions and follow up with stakeholders for timely closure.
- Provide administrative support for the Travel Management System and related activities.
3. IT Procurement, Vendor and Supplier Management
- Support IT procurement activities in accordance with organizational policies and procedures.
- Maintain and update the IT asset register and related records.
- Support the complete supplier contract lifecycle, including negotiations, contract initiation, renewals, amendments, and termination formalities.
- Maintain supplier contracts, agreements, purchase-related documents, and supporting records.
- Coordinate with suppliers for Request for Proposal (RFP) responses and collection of required commercial and technical information.
- Support Purchase Order (PO) creation and related procurement documentation.
- Coordinate with suppliers and internal stakeholders regarding invoicing and outstanding payment follow-ups.
- Maintain effective supplier relationships and support resolution of vendor-related issues.
- Assist IT managers in monitoring supplier performance and contractual obligations.
4. Quality and Documentation
- Ensure appropriate documentation is maintained for IT services, projects, procurement activities, contracts, and vendor-related processes.
- Maintain accurate records and supporting documentation for audits and management reviews.
- Ensure project and service-related information is organized and readily accessible.
- Support continuous improvement of IT processes, templates, and documentation standards.
Educational Qualification
- Executive Master's in Business Administration (MBA/EMBA) with specialization in Information Technology or equivalent qualification.
- Additional skilled certification in project management, procurement, vendor management, or information security would be advantageous.
Experience
- 15+ years of relevant experience in Information Technology and/or IT operations, with exposure to IT project coordination, vendor management, procurement, budgeting, and service delivery.
- Experience working with IT vendors, suppliers, contracts, procurement processes, and cross-functional stakeholders.
