About the Role
We are looking for a Vendor Management & Procurement Associate with 2–3 years of experience in an agency setting. The role involves managing vendors, freelancers, and production partners, handling procurement requirements, negotiating costs, and ensuring smooth execution of project-based deliverables.
This is a fast-paced agency-style role requiring strong coordination, negotiation, and execution skills across multiple vendors and timelines.

Key Responsibilities
Vendor Management
Identify, onboard, and manage vendors, freelancers, and production/service partners
Coordinate end-to-end with vendors for project requirements and deliveries
Maintain strong and professional vendor relationships
Ensure timely execution of all vendor deliverables
Procurement & Cost Management
Source vendors and obtain competitive quotations
Negotiate pricing, timelines, and deliverables




Maintain vendor rate cards and cost comparison sheets
Support cost optimization across projects
Project Coordination
Assign and track vendor tasks based on project requirements
Ensure vendors meet deadlines and quality expectations
Coordinate with internal teams for smooth execution of deliverables
Vendor Database & Reporting
Maintain updated vendor database (pricing, categories, performance)
Track vendor performance and delivery history
Maintain documentation, agreements, and procurement records
Share updates and escalate delays when required

Requirements
2–3 years of experience in Vendor Management / Procurement / Production Coordination / Operations
Prior experience in an advertising agency, media agency, production house, or event company is mandatory or strongly preferred
Solid understanding of vendor ecosystem (production, freelancers, shoots, fabrication, printing, etc.)
Excellent negotiation and communica
