The Team Assistant will provide direct, high-level executive and secretarial support to the function Leads for ATV MC and ATV SP ensuring the smooth execution of daily schedules, correspondence, and travel arrangements. This role requires meticulous attention to detail, exceptional organizational skills, and the ability to handle sensitive information with the highest level of confidentiality.

Your Role

Key responsibilities in your current role
- Meeting & Event Support
- Arrange internal and external meetings, including booking venues, sending invites, and preparing necessary materials.
- Department event support, venue booking, invites, vendor coordination etc.
- Travel & Logistics
- Plan and coordinate domestic and international travel, including flights, accommodation, visas, and ground transport.
- Prepare detailed travel itineraries and briefing packs.
- Manage related expenses claims and reimbursements for function Leads.
- Support employees for travel and logistics.
- Support internal and external events.




- Procurement and Material support
- Support procurement and material movement processes by creating/tracking purchase requisitions and purchase orders in the ERP.
- Raising Gate Passes and NOSTAS requests for inbound/outbound materials.
- Renewals and new subscriptions of industry data and marketing reports.
- Ensuring accuracy, approvals, and compliance with SOPs.
- Visitor Management
- Incoming visitor management (Invitation Letters, Workshops, Hotel Accommodation, Local commute assist, badge access).
- Room booking and Lunch arrangements for visitors.
- Calendar & Schedule Management
- Maintain and update the Site Leads daily calendar, ensuring optimal scheduling and avoiding conflicts.
- Outlook distribution list maintenance.
- Proactively plan, confirm, and manage meetings, conference calls, and appointments.
- Coordinate with global and regional teams to schedule across multiple time zones.
