Job Overview The Operations & Spares Executive coordinates day-to-day workshop floor repair flow, job allocation, spare parts procurement, inventory accuracy, and supplier order management across multi-brand passenger cars and commercial vehicles.
Key Responsibilities
1. Day-to-Day Workshop Repair Coordination
- Track active vehicles on the shop floor from job card opening to road test and final delivery.
- Coordinate with Service Advisors and Master Technicians to prioritize running repairs, periodic servicing, and major overhauls.
- Monitor job completion timelines to minimize Vehicle-Off-Road (VOR) hours and bottlenecks in service bays.
- Conduct visual checks to verify requested mechanical, electrical, and maintenance jobs are completed prior to billing.
2. Spare Parts Procurement & Vendor Ordering
- Source genuine OEM/OES and approved aftermarket parts based on technician demand and job estimates.
- Raise purchase orders (POs) daily with authorized distributors, local parts retailers, and Tier-1 suppliers.
- Negotiate pricing, delivery timelines, and credit terms for slow-moving or hard-to-find components.
- Track dispatch and transit updates for emergency/rush orders to prevent vehicle delivery delays.
3. Inventory Control & Store Management
- Maintain optimal stock levels for fast-moving items (engine oils, filters, brake pads, fluids, spark plugs, belts, and common suspension parts).
- Execute accurate parts inwarding by checking physical shipments against invoices/challans for part numbers, specifications, and physical damage.
- Issue spares strictly against valid Job Card numbers to prevent untracked parts leakage.
- Conduct regular weekly and monthly physical stock audits to reconcile physical inventory with software/ledger balances.
4. Scrap, Core & Returns Handling
- Process supplier returns for defective, mismatched, or transit-damaged components within vendor return windows.
- Manage warranty return items, old core units (such as alternators, steering racks, and starter motors), and scrap disposal procedures.
5. Documentation & Reporting
- Enter daily purchase, issue, and stock adjustment entries into the workshop management software/DMS or Excel register.
- Track daily parts purchase expenses, outstanding supplier payments, and pending backorders.
- Report daily job closure status, pending repair vehicles, and out-of-stock items directly to management.
Candidate Profile & Qualifications
- Education: Diploma or Degree in Automobile/Mechanical Engineering, or Graduate in any stream (B.Com/B.Sc/BBA).
- Experience: 24 years of hands-on experience in automotive workshop floor coordination, spare parts management, or storekeeping (multi-brand workshop, dealership, or commercial fleet setup preferred).
- Technical Knowledge: Solid familiarity with multi-brand car and commercial vehicle mechanical assemblies, part catalogs, and OEM/OES brands (Bosch, Valeo, LUK, Mahle, Brembo, TVS, etc.).
- Computer Skills: Proficiency in basic MS Excel/Google Sheets and Workshop DMS/inventory management software.
- Languages: Working knowledge of Hindi and Gujarati; basic English for catalog navigation and invoices.
