About the Role

We are looking for a detail-oriented and reliable Warehouse Incharge to manage the storage, maintenance, dispatch, and inventory of backline equipment (drums, amplifiers, keyboards, guitars, cases, stands, cables, and other stage/tour gear). The ideal candidate will ensure equipment is always tour-ready, properly maintained, and efficiently tracked as it moves in and out for gigs, tours, and rentals.

Key ResponsibilitiesInventory Management

- Maintain an accurate, up-to-date inventory of all backline equipment (owned, rented-in, and rented-out)
- Conduct regular physical stock audits and reconcile with digital/inventory records
- Tag, label, and catalog all equipment with unique IDs/QR codes for easy tracking
- Flag missing, damaged, or lost items immediately to management

Equipment Handling & Maintenance
- Inspect gear before and after every gig/tour dispatch for damage or wear
- Coordinate routine servicing, cleaning, and minor repairs of instruments and equipment
- Liaise with technicians/vendors for major repairs or servicing
- Ensure proper packing, cushioning, and flight-case protocols to prevent transit damage

Dispatch & Logistics
- Prepare equipment lists (pull sheets) as per show/tour riders and confirm against artist/production requirements
- Coordinate loading and unloading of trucks/vehicles for gigs, tours, and rentals
- Track outward and inward movement of gear with proper documentation (challans, gate passes, delivery notes)
- Ensure timely dispatch and return of equipment as per event/tour schedules
- Coordinate with transport vendors and logistics partners for interstate/international shipments

Warehouse Operations
- Organize warehouse layout for efficient storage and quick retrieval
- Maintain cleanliness, safety, and security of the warehouse premises
- Monitor and manage warehouse access,



ensuring only authorized personnel handle equipment
- Maintain fire safety, humidity control, and other environmental precautions for sensitive gear

Documentation & Reporting
- Maintain records of rentals, purchases, write-offs, and depreciation of equipment
- Generate weekly/monthly inventory and utilization reports for management
- Track equipment insurance and warranty documentation
- Support the finance/BD team with rental cost estimates based on equipment availability

Team Coordination
- Supervise and coordinate warehouse helpers/loaders
- Work closely with Production Managers, Stage Managers, and Tour Managers to understand upcoming show requirements
- Coordinate with the sales/business development team on equipment availability for rental inquiries

RequirementsExperience & Education
- 2–5 years of experience in warehouse/inventory management, preferably in live events, music, backline, or equipment rental industry
- Graduate in any discipline; diploma/certification in logistics or supply chain is a plus
- Prior experience handling musical instruments/technical equipment is highly preferred

Skills
- Strong organizational and inventory management skills
- Working knowledge of MS Excel/Google Sheets; familiarity with inventory management software is a plus
- Basic understanding of musical instruments and audio equipment (drums, amps, keyboards, cases, etc.)
- Good communication skills to coordinate with vendors, transporters, and internal teams
- Physically fit and comfortable with manual handling of heavy equipment
- Ability to work flexible hours, including nights/weekends, based on show schedules

Other Requirements
- Willingness to travel occasionally for large tours/festivals if required
- High level of integrity and accountability, given the value of equipment handled
