Sales Coordinator Hospitality / HORECA Industry

Position Overview

We are looking for a highly organized and customer-focused Sales Coordinator to support our Hospitality (HORECA)

sales team. The candidate will coordinate sales activities, prepare quotations, manage customer communication, follow up on enquiries, process orders, and ensure smooth coordination between customers, sales executives, procurement,

warehouse, and dispatch teams.

The ideal candidate should have excellent communication skills, strong sales coordination abilities, and the capacity to manage multiple hospitality clients including Hotels, Restaurants, Cafs, Caterers, Banquet Halls, Cloud Kitchens, and

Institutional Kitchens.

Key Responsibilities

Coordinate daily sales enquiries received from customers, website, email, WhatsApp, and sales executives.

¢ Prepare professional quotations, proforma invoices, and product proposals.

¢ Maintain regular follow-up with prospective and existing hospitality clients.

¢ Support sales executives in closing orders by providing product information and documentation.

¢ Process customer purchase orders and coordinate with internal departments for execution.

¢ Communicate order status, delivery schedules, and dispatch updates to customers.

¢ Coordinate with procurement and warehouse teams regarding product availability and stock status.

¢ Maintain customer database, enquiry records, quotations, and sales reports in CRM/ERP.

¢ Prepare monthly sales MIS, pending quotation reports, order tracking reports, and follow-up reports.





¢ Coordinate with logistics for timely delivery of commercial kitchen and hospitality equipment.

¢ Handle customer documentation including GST details, billing information, and purchase order records.

¢ Assist in tender enquiries, project documentation, and institutional hospitality projects whenever required.

¢ Ensure excellent customer service before and after sales.

Required Skills

¢ Communication: Excellent verbal and written English; Hindi and Marathi preferred.

¢ Customer Handling: Ability to professionally communicate with B2B hospitality clients.

¢ Quotation Preparation: Experience creating quotations and commercial offers accurately.

¢ ERP / CRM Knowledge: Familiarity with ERP, CRM, or sales management software.

¢ MS Office: Strong knowledge of Excel, Word, Outlook, and PowerPoint.

¢ Time Management: Ability to manage multiple enquiries and priorities efficiently.

Educational Qualification

¢ Bachelor's Degree in Commerce, Business Administration, Marketing, or equivalent.





¢ Diploma in Hospitality Management will be an added advantage.

Experience Required

15 years of experience in Sales Coordination, Inside Sales, Customer Support, or B2B Sales. Preference will be given to candidates having experience in Hospitality, HORECA, Commercial Kitchen Equipment, Stainless Steel Products,
